PAY GRADE: J


FLSA STATUS: Non-Exempt


POSITION OBJECTIVE:


This stand-alone classification performs a variety of duties in the processing of payroll for the organization. Duties include: completing and reviewing timesheets; responding to employee and supervisor questions and resolving routine issues; performing data input; preparing required reports; and maintaining related records.


DUTIES & RESPONSIBILITIES: (These duties are a representative sample; position assignments may vary.)



  • Processes, audits, and maintains timesheets, personnel action requests/reports, verifications of employment in accordance with established guidelines; verifies and tracks leave and accrual information; calculates and prorates salary and leave benefits amounts for off-cycle employees and special or unusual circumstances.

  • Receives, researches, and inputs payroll changes into applicable computer system based on information contained on Personnel Action forms, contracts, and/or reports; receives and processes requests for substitute authorization numbers; receives, researches, and inputs “No Sub Available” forms; inputs and maintains all employee calendar information.

  • Researches, responds, analyzes, and resolves various employee, department, and management inquiries and/or complaints.

  • Sorts and secures the proper disbursement of employee paychecks including attachments such as time slips, docks, and direct deposit pre-note information.

  • Balances, reconciles, and processes payroll in assigned area of responsibility, which includes: payroll taxes, insurance deductions, flexible spending accounts, and/or other related information; balances site responsibilities to proforma to ensure pay accuracy.

  • Files payroll documentation to ensure audit trail and compliance with government regulations; maintains current fiscal year employee files in assigned area of responsibility; archives prior year files.

  • Ensures appropriate funds are encumbered or disencumbered with correct funding codes.

  • Performs other duties of a similar nature or level.


EDUCATION & EXPERIENCE:


High School Diploma, or G.E.D., completion of additional bookkeeping coursework and three years of basic accounting or payroll experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.


LICENSING REQUIREMENTS:



  • None Required


KNOWLEDGE:



  • Payroll processing practices;

  • State and Federal payroll taxes;

  • Labor laws associated with overtime payments;

  • Automated payroll processing software;

  • Payroll manuals and policies;

  • Customer service principles.

  • Operating a computer and related software applications;

  • Reading, interpreting, and applying technical information;

  • Identifying and resolving problems;

  • Reviewing a variety of payroll documents and forms and identifying incorrect information;

  • Meeting strict payroll deadlines;

  • Communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.


PHYSICAL REQUIREMENTS:


Positions in this class typically require: stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, finger dexterity, grasping, talking, hearing, seeing, and repetitive motions.


Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.


Incumbents may be subjected to moving mechanical parts, odors, chemicals, extreme temperatures, inadequate lighting, workspace restrictions, and intense noises.


NOTE:

Return To Work Retirees will have an hourly rate approximately 9% lower than listed below without falling below minimum wage.


Position Type: 8 hours/day
