Responsibilities

  • Process weekly multi-state hourly payroll (primarily union) and ensure employees are paid on time and accurately.
  • Review new employee set-up information for completeness.
  • Review time records and contact supervisors for any incomplete or unusual information.
  • Enter/proof all employee time information for pay, tax reporting, and other reports.
  • Prepare and distribute net pay via checks or direct deposits.
  • Upload payroll journal entries and verify tax withholding, employer taxes, dues, benefits, and garnishments.
  • Maintain knowledge of wage laws and union contracts; update payroll software accordingly.
  • Prepare and file payroll-related reports (government, benefit plans, union reports, multi-state).
  • Assist in quarterly and year-end payroll tax returns and respond to tax authorities.
  • Assist with distribution of W-2s and coordination with external auditors.
  • Resolve employee questions and support payroll team in policy updates.
  • Perform other duties as needed.

Job description

  • Responsible for in-house processing of weekly multi-state hourly payroll (primarily union) and ensuring employees are paid on time and accurately, generating payroll-related reports, and assisting in payroll tax and other regulatory returns.
Primary Responsibilities
  • Review new employee set-up information for completeness.
  • Review reported employee time records; contact appropriate supervisors for any incomplete or unusual information.
  • Accurately enter/proof all employee time information for pay, tax reporting, and other report processing.
  • Prepare and distribute net pay (payroll checks and direct deposits) accurately and on time.
  • Prepare, and upload payroll journal entries using automated ERP payroll system; verify completion of payments for tax withholding, employer taxes, dues, benefits, garnishments, 401k contributions, etc.
  • Maintain current knowledge of applicable state and federal wage and hour laws and union contract agreements; ensure payroll software is appropriately updated.
  • Ensure wage adjustments, special payments, tax allocations, and employee deductions are current.
  • Respond to information requests and prepare and file payroll-related reports: government (e.g., certified payrolls), benefit plans, union reports, multi-state reporting, etc.
  • Assist in preparing and filing quarterly and year- end payroll tax returns and addressing all issues/questions from tax authorities.
  • Assist with preparation and distribution of earnings and tax withholding statements (W-2’s).
  • Assist in preparation of schedules and other information for external auditors.
  • Respond to and resolve employee questions and problems and ensure support is provided in a professional, courteous, and timely manner.
  • Assist Payroll Team and management in designing and updating policies, procedures, and processes; assist in enforcing established policies.
  • Perform other duties and responsibilities as needed.
Required Education, Experience, Knowledge, Skills, and Abilities
  • 5 years in-house payroll processing experience, or associate degree in accounting or business administration with 5 years in similar role.
  • Computer proficiency (MS Excel and Outlook)
  • Knowledge of wage laws and tax regulations
  • Detail oriented, professional, and reliable

Preferred Experience, Knowledge, and Skills
  • Knowledge and familiarity with basic accounting principles and practices
  • Experience with union pay structures/rules/reporting in a sizable multi-state construction company
  • Experience/Understanding in certified, prevailing wage rules and reporting.
  • Experience in an ERP environment – Vista Viewpoint
  • Traditional indoor office environment. Some office workers may travel to construction sites periodically.

  • While performing the duties of this job, the employee is regularly required to sit for long periods of time while using a keyboard. They are frequently required to stand and walk. The visual requirements include demonstrating or having vision corrected to 20/20. In general, this position includes sedentary work that primarily involves sitting and/or standing as well as repeating motions that include the wrists, hands, and/or fingers.
