Fresh Clinics is seeking an experienced Payroll & Compliance Specialist to own end-to-end payroll and compliance for our Australian and US entities. This hands-on role ensures accurate payments, adherence to PAYG, STP2, FICA, and wage-and-hour rules, and clean data flow into Finance using Rippling.

You will manage multi-entity, multi-currency payroll, partner with HR and external payroll providers, support audits, and drive process improvements in a remote-first environment.

Qualifikationen

• 3–5+ years of payroll processing including AU and US payroll.
• Knowledge of PAYG, superannuation, STP2, Modern Awards, payroll tax, and US withholding and FICA.
• Accounting degree; CPP / Australian Payroll Association is a plus.
• Experience with Rippling is advantageous.
• Multi-entity, multi-currency experience preferred.

About the role

You will own end-to-end payroll and compliance for our Australian and US entities, making sure every employee and contractor is paid accurately and on time, statutory obligations are met in both jurisdictions, and payroll data flows cleanly into Finance. It is a hands‑on role that calls for precision, discretion and a strong compliance mindset across two regulatory environments.

What you’ll do

• Payroll processing (AU, US, EOR): run end-to-end payroll cycles for AU and US employees and contractors, covering new starters, terminations, leave, overtime, allowances, bonuses and commissions. Review and approve Philippines EOR payroll files from Rippling, and process off‑cycle and termination payments within statutory timeframes.
• Statutory compliance (AU): maintain PAYG withholding, Superannuation Guarantee, STP2, state payroll tax and Modern Award/Fair Work compliance, and review contractor arrangements for payroll tax and super exposure.
• Statutory compliance (US): maintain federal and state withholding, FICA, unemployment insurance and wage‑and‑hour compliance, including review of Forms 941, 940 and W-2, W-9 collection and 1099 reporting. Manage registrations and lodge all filings and payments on time in both jurisdictions.
• Systems and data integrity: own Rippling for AU and US payroll, keep employee master data accurate, and fix payroll, HRIS and GL integration mismatches at the source.
• Month‑end close: post payroll journals (leave, bonus, commission and payroll tax accruals), reconcile payroll to the general ledger each pay cycle and month end, and own payroll‑related balance sheet accounts.
• Controls and audit readiness: keep process documentation current, operate within segregation‑of‑duties controls, stay continuously audit‑ready and automate repetitive work where possible.
• Parental leave: manage statutory and Fresh top‑up parental leave payments across Australia, the US and the Philippines, including KIT days and reconciling government or provider funding.
• Rippling Spend: maintain expense policies, reimbursement rates and approval settings, and process employee reimbursements to payroll deadlines.
• Employee support: be the first point of contact for payroll queries, working with HR, super funds, benefits providers and external payroll partners.

We’d love you to have

• 3–5+ years of payroll processing experience, including both AU and US payroll.
• Working knowledge of PAYG, superannuation, STP2, Modern Awards and payroll tax, plus US federal and state withholding, FICA and multi‑state requirements.
• A diploma or degree in Accounting or a related field; payroll certification (e.g. CPP or Australian Payroll Association) is an advantage.
• Experience with Rippling (advantageous).
• Multi‑entity, multi‑currency experience is strongly preferred; fast‑growth or private equity‑backed experience is a plus.
• Sharp attention to detail, discretion with confidential data, and clear communication with non‑specialists.
• A proactive, deadline‑driven approach, and enjoyment of building process in a maturing finance function.
