Responsibilities / Position overview

The Payroll & Benefits Coordinator is responsible for ensuring accurate and timely payroll processing, benefits administration, and employee support with exceptional attention to detail. This role manages new hire onboarding, payroll execution, benefits enrollment, and related reporting while maintaining strict confidentiality and data accuracy.

Day-to-day responsibilities include:

  • Process new hires in Paylocity, NetSuite, and Employee Navigator: update trackers, follow up on missing items, and ensure direct deposit setup.
  • Coordinate payroll: manage schedules, reminders, and manual payroll items; collect backup documentation, verify deductions, and run audits; complete post-payroll reporting and check tracking.
  • Collect, quality-check, and save paper timecards.
  • Benefits Administration: coordinate various benefit activities including enrollments, changes and terminations. Schedule and conduct benefit orientation sessions for newly eligible employees, assist in offboarding activities as necessary.
  • Benefits Enrollment & Data Integrity: ensures the accuracy of benefits enrollments, verify and process invoices timely, maintain compliance with 401k and HSA requirements.
  • Assist with Open Enrollment process including communications, employee meetings, and system updates.
  • Manage shared inboxes, responding to employee and vendor inquiries timely. Escalate issues as appropriate and maintain organized inboxes with proper documentation.
  • Maintain accurate documentation and reporting for audits, compliance, and vendor communications.
  • Review and organize mailed documents. Follow up and track pending mail tasks until they are completed.
  • Collaborate with HR and Finance teams to ensure seamless payroll and benefits operations.
  • Attend and support vendor calls punctually and professionally, maintain invoice and benefits trackers, and handle 401k forfeiture statements.
Qualifications
  • 2+ years of payroll and benefits experience
  • Familiarity with Paylocity, Employee Navigator or similar systems
  • Strong organization, time management and communication skills
  • Strong critical thinking skills for identifying and escalating issues
  • Proactive communicator with excellent customer service skills
  • High level of confidentiality and accuracy in data entry
  • Ability to meet tight deadlines and manage multiple tasks efficiently with a proactive mindset
  • Proficiency in Excel and Microsoft Office Suite
  • Ability to work autonomously
