We're looking for a Payroll & HRIS Specialist to manage the end-to-end payroll process and support the company’s HR information systems. This individual will serve as a key resource in ensuring timely and accurate payroll execution, data integrity, and compliance with payroll-related laws and standards. This role collaborates closely with HR, Finance, and other departments to support smooth operations while safeguarding sensitive data.

Key Responsibilities:

  • Administer weekly payroll cycles for both salaried and hourly employees across all divisions.
  • Accurately calculate and process earnings, including overtime, bonuses, deductions, and benefits.
  • Handle payroll tax responsibilities and ensure timely filing of payments and reports.
  • Reconcile contributions and deductions for retirement plans and health savings accounts.
  • Approve and process updates such as wage adjustments, tax withholdings, and employee data changes.
  • Maintain digital personnel files and keep payroll data organized and up to date.
  • Assist with the rollout of employee incentive and bonus programs.
  • Keep the HRIS platform current and ensure proper integration with payroll systems.
  • Produce and distribute standard and ad hoc payroll reports for internal use.
  • Lead periodic payroll reviews to ensure compliance and identify process improvements.
  • Prepare relevant documents for tax reporting and year-end statements.
  • Resolve any issues or discrepancies related to pay and respond to employee payroll questions.
  • Set up and maintain benefit deductions, garnishments, and other adjustments.
  • Troubleshoot system issues and work with external providers on resolutions.
  • Ensure adherence to all applicable payroll regulations at the federal, state, and local level.
  • Stay current on evolving payroll regulations, technologies, and industry trends.
  • Take on additional duties as needed to support the HR and Finance teams.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, HR, or a similar discipline.
  • 3–5 years of hands-on experience in payroll and HRIS functions.
  • Professional payroll certification (e.g., CPP) is a strong advantage.
  • Solid understanding of processing payroll across multiple states.
  • Familiarity with benefit plans and how deductions are handled in payroll systems.
  • In-depth knowledge of payroll compliance requirements.
  • Proficient in Microsoft Excel and other standard office applications; experience with HR/payroll software platforms.
  • Detail-oriented with strong data analysis and reconciliation skills.
  • Effective communicator, both written and verbal.
  • Maintains a high level of confidentiality and professionalism.
  • Self-starter with the ability to work independently and collaboratively.
  • Strong organizational skills and ability to meet tight deadlines.
