Job summary

Specialty Dental Brands is seeking a Payment Specialist to accurately post and reconcile patient and insurance payments across assigned practices. You will review payment documentation, research discrepancies, and collaborate with internal teams to ensure financial activity is recorded accurately and promptly.

Ideal candidates have a strong focus on accuracy, experience with dental or healthcare billing, and proficiency in Excel.

Qualifications

  • High school diploma or equivalent required; associate degree in accounting, finance, healthcare administration, or related field preferred.
  • Experience in dental or healthcare payment posting, billing, accounts receivable, or revenue cycle management preferred.
  • Knowledge of insurance payments, remittances, explanations of benefits, and patient balances.

Responsibilities

  • Post insurance and patient payments, adjustments, and other transactions to accounts.
  • Review remittance advices, EOBs, checks, EFTs, and card payments.
  • Match payments to patients, providers, and dates of service; reconcile daily batches.

Job description

The Payment Specialist is responsible for accurately posting and reconciling patient and insurance payments across assigned practices. This individual will review payment documentation, research discrepancies, and collaborate with internal teams to ensure financial activity is recorded accurately and promptly.

What You'll Do
  • Accurately post insurance and patient payments, adjustments, and other financial transactions to the appropriate accounts.
  • Review electronic remittance advices, explanations of benefits, checks, electronic funds transfers, and credit card transactions.
  • Match payments to the appropriate patients, providers, locations, and dates of service.
  • Reconcile daily payment batches and deposits to ensure transactions balance across applicable systems.
  • Research and resolve unidentified payments, unapplied funds, posting errors, and account discrepancies.
  • Identify underpayments, overpayments, duplicate payments, denials, and contractual adjustment discrepancies.
  • Apply adjustments and contractual allowances according to payer agreements and established company guidelines.
  • Document account activity clearly and maintain accurate supporting records.
  • Communicate with insurance carriers, practice teams, and internal departments to resolve payment-related questions.
  • Monitor assigned work queues and aging reports to ensure transactions are processed within established timelines.
  • Escalate complex discrepancies, unusual payment activity, or potential compliance concerns to the appropriate leadership team.
  • Protect confidential patient and financial information while following HIPAA requirements and company policies.
  • Support audits by providing accurate payment documentation and transaction histories.
  • Assist with process improvements that increase posting accuracy, efficiency, and consistency.
  • Meet established productivity, quality, and turnaround-time expectations.
Preferred Qualifications
  • High school diploma or equivalent required; associate degree in accounting, finance, healthcare administration, or a related field preferred.
  • Previous experience in dental or healthcare payment posting, billing, accounts receivable, or revenue cycle management preferred.
  • Working knowledge of insurance payments, electronic remittance advices, explanations of benefits, contractual adjustments, and patient account balances.
  • Experience working with dental practice management systems, clearinghouses, or healthcare billing platforms preferred.
  • Proficiency in Microsoft Excel, Outlook, and other Microsoft Office applications.
  • Strong mathematical, analytical, and problem-solving skills.
  • Exceptional attention to detail and commitment to accuracy.
  • Effective written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a high-volume environment.
  • Understanding of HIPAA and the importance of protecting confidential patient information.
