Summary

This role serves as a key coordinator in the patient care journey, ensuring patients receive timely, efficient follow-up care and an exceptional experience. Responsibilities include scheduling specialty and diagnostic services, obtaining prior authorizations and referrals, managing referral work queues, and monitoring outstanding results, recalls, and appointment needs. The position requires strong knowledge of payer requirements, scheduling processes, and care coordination, along with the ability to collaborate effectively with providers, patients, and care teams to support seamless access to care and positive patient outcomes.

Responsibilities
  • Deliver an exceptional patient experience by providing outstanding customer service, addressing concerns, communicating delays, and supporting patients throughout their care journey.
  • Coordinate visit completion activities, including scheduling follow-up appointments, specialty referrals, laboratory services, imaging, and other clinician-ordered services.
  • Obtain and verify prior authorizations, referrals, and certifications in accordance with payer requirements.
  • Monitor and manage referral work queues, patient messages, and scheduling workflows to ensure timely access to care.
  • Maintain accurate patient documentation, facilitate medical record requests, and support patient engagement tools such as MyChart.
  • Collect applicable patient balances and connect patients with financial assistance resources when appropriate.
  • Collaborate with providers and clinic staff to optimize schedules, resolve barriers to care, and improve operational efficiency.

Qualifications
Required
  • High school diploma or equivalent.
  • Successful completion of Epic Clerical Training and achievement of Epic Registration competency.
  • Medical terminology training or completion within six months of hire.
  • Ability to maintain patient confidentiality and comply with HIPAA regulations.
Preferred
  • Experience working in a medical office, clinic, or hospital setting with patients and healthcare providers.
  • Knowledge of prior authorizations, referrals, and insurance certification processes.
