Job summary

Azul Vision is seeking a Patient Support Representative to deliver excellent front-desk service in a busy clinic. You will greet patients, answer calls, check-in, verify demographics, scan insurance/IDs, and post payments while reconciling daily cash and card transactions.

You will coordinate appointments, confirmations, reschedules, and authorizations, communicate wait times, and maintain accurate patient records across encounters and charts. A professional demeanor is essential.

Qualifications

  • Minimum: High School Diploma or equivalent.
  • 2 years of experience in the medical front office.
  • Experience working with the public.
  • Preferred: 2–5 years in medical reception and customer service.
  • Proficient computer skills and typing 25 wpm.

Responsibilities

  • Greet patients upon arrival.
  • Answer phone by 3rd ring and check-in patients.
  • Verify demographics accuracy for all patients.
  • Obtain/scan insurance and identification cards.
  • Post monies and reconciliate daily cash/credit transactions.
  • Schedule and reschedule appointments as needed.
  • Communicate wait times to staff and patients.
  • Scan documents (medical records, consents, etc.).
  • Process new patient information packets; add PCPs to charts.
  • Review schedule for required tests and authorizations.
  • Verify insurance eligibility and required authorizations.
  • Manage fax status; route to correct departments.
  • Maintain a clean waiting area and restock materials.
  • Take messages and assign tasks to technicians.
  • Check out patients and confirm doctor orders.

The Patient Support Representative plays a key role in delivering outstanding customer service while ensuring accurate documentation to support patient satisfaction and maintain an efficient clinic environment. Responsibilities include handling incoming calls, scheduling and rescheduling appointments, posting payments collected at the front desk to patient accounts, and reconciling all cash, credit card, and check transactions at the end of each business day.KEY RESPONSIBILITIES:Greet patients upon arrivalAnswer phone by 3rd ringCheck-in patientsVerify all information is correct in demographics for all patientsObtain/ scan insurance and identification cardsMake sure all authorizations are put in systemProcess new patient information packetsAdd PCPs to all patients' chartsPost monies/batch reconciliationPut up fee tickets promptlyCommunicate with the staff and patients regarding wait times/ delays in the clinicScan in documents (outside medical records/ consents/ all pertinent information)Appointment confirmationsAppointment reschedules when neededRequest authorizationsReview the schedule to ensure all requested testing appointments have been keptInsurance verification / Eligibility (HMO, PPO, and Vision Plans)Review scheduled/ insurance verification for and reschedule any ineligible patientsReview the schedule to ensure all required authorizations are obtainedChecking incoming and outgoing fax statusEnsure all Medical records request get to the correct department for processingMaintain a clean work/ waiting area, restock business cards for all doctorsTake messages to send tasks to technicians when neededCheck out patientsMake sure all doctor's orders are completeVerify that correct insurance has been added to encounterAsk patient if all questions have been answered and they understand their diagnosis and plan before leavingAsk patient if all questions have been answered and they understand their diagnosis and plan before leavingOffer dark glasses for dilated patientsEXPERIENCE:Minimum:High School Diploma (or its equivalent)2 years of experience in the medical field front officeExperience working with the public.Preferred:Over 2 years and up to and including 5 years of experience.Experience in medical reception and customer service.KNOWLEDGE, SKILLS, ABILITIES:Computer literate.Ability to type 25 wpm.Working knowledge of general office duties.Working knowledge of contracted insurance plans.Good verbal and written communication skills.Good telephone skills.Customer service oriented.Task-oriented.Ability to work in a fast-paced environment.Work EnvironmentThis job operates in a professional, fast-passed, medical clinic environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets, and interacts with both staff and patents.Physical DemandsThe employee is required to stand and use both hands for typing for extended periods of time; Walk, climb or balance; and stoop, kneel, crouch, or crawl periodically. The employee must frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 45 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.Position Type and Expected Hours of WorkThis is a full-time, non-exempt position. Days and hours of work are Monday through Friday, 8 hours a day shifts with occasional overtime as required.TravelThis position may require up to 50% travel.
