Job summary

Kern Valley Healthcare District is seeking an Admissions Clerk to facilitate efficient inpatient admissions and hospital-based outpatient testing procedures. You will interview patients, collect information, verify insurance, and provide billing and policy information with empathy and professionalism.

You will collaborate with nursing and ancillary departments, log valuables, and help guide patients through forms and advanced directives in a fast-paced hospital setting.

Qualifications

  • High School graduate or equivalent.
  • Patient admitting experience preferred.
  • Able to communicate effectively in English, both verbally and in writing.
  • Additional languages preferred.
  • Excellent customer services skills.
  • Good computer knowledge, including Word, Excel, and Outlook.

Responsibilities

  • Accept reservations for hospital services.
  • Pre-admit patients and pre-register for scheduled admissions and outpatient procedures.
  • Obtain authorization and verify insurance eligibility.
  • Interview patients or representatives and collect required information.
  • Obtain signatures on admission documents and initiate advanced directive processes.
  • Provide information about billing, HIPAA, patient rights, and visiting hours.
  • Log valuables and secure them as needed.
  • Communicate with nursing services and other departments to coordinate care.
  • Collect co-payments when required and forward to Business Office.

Job description

Arranges for the efficient and orderly admission of inpatients and admission of individuals who have hospital-based outpatient testing or procedures. Ensures that the patient information is collected and that patients are aware of hospital policies and procedures. Interviews incoming patients or representatives and enters information required for admission into computer database. Distributes appropriate information to ancillary departments. Participates in performance improvement and quality improvement activities.

  • Responsible for accepting reservations for hospital services.
  • Responsible for accepting reservations from a physician’s office and pre-admitting these patients.
  • Responsible for pre-registering patients for scheduled admissions and outpatient procedures, obtaining authorization and verifying insurance eligibility.
  • Responsible for interviewing patients or their representative, where admission is unscheduled, for obtaining personal information or verifying information already on file, including emergency numbers and insurance information.
  • Responsible for obtaining signatures on Conditions of Admission and initiating the advanced directive process.
  • Communicates with Nursing Services when no advanced directive is available.
  • Provides information to the patient or their representative about billing, complaint process, patient rights, HIPAA and visiting hours. Distributes hospital specific literature.
  • Responsible for logging a patient’s valuables and securing them in the safe.
  • Initiates appropriate paperwork for workers’ compensation visits in the event of work-related injury or illness.
  • Communicates appropriately and clearly to supervisors, nurse managers, coworkers, and physicians.
  • Consults other departments as appropriate to provide for an interdisciplinary approach to the patient’s needs.
  • Responsible, when previous arrangements have been made or a co-payment is required, to collect such payments, record payment and forward to the Business Office personnel.
  • Responsible for knowing hospital policies and being familiar with available hospital services.
  • Refers patients to the Financial Counselor when financial arrangements need to be made.
  • Demonstrates an ability to be flexible, organized and function well in stressful situations.
  • Treats patients and their families with respect and dignity; ensures confidentiality of patients’ records.
  • Interacts professionally with patients and family, providing explanations and verbal reassurance, as necessary.
  • Answer the telephone in a polite manner and communicate information to the appropriate personnel and/or family member.
  • Manages and operates equipment safely and correctly.
  • Checks and stocks supply as needed.
