Job summary

Family Hospital Management Company is seeking an organized admissions/registration clerk to support patient intake, registration, and related administrative tasks in a fast-paced hospital setting.

You will handle patient information, verify insurance, collect payments, and coordinate with clinical and administrative staff to ensure smooth admissions and timely service delivery.

Qualifications

  • High School diploma or GED required; associate degree or higher preferred.
  • BLS certification required; CHAA or CHAM preferred.
  • 1 year of experience in an acute patient care setting preferred.

Responsibilities

  • Register patients and perform registration-related functions, including obtaining consents and authorizations.
  • Explain and collect financial paperwork and co-payments as required.
  • Verify insurance and manage collections and associated paperwork.
  • Answer phones and coordinate administrative tasks with staff.
  • Schedule outpatient appointments and obtain prior authorization when needed.
  • Educate patients on preregistration and post‑visit requirements as applicable.
  • Maintain and scan patient records with accuracy and privacy compliance.

Job description

Overview

Responsible for patient registration, admissions, and associated tasks which include information collection and validation, and requisitioning of orders and services. Insurance-related tasks include verification, collection of co-payments, and collection of associated paperwork. Performs administrative functions, scheduling, answering phones, and coordinating general requests.

Responsibilities
  • Registers patients and performs all registration-related functions, including explaining and obtaining all necessary patient consents and authorizations in a complete and timely manner, collecting financial paperwork (e.g., patient responsibility statement) and co-payments as required.
  • Communicates effectively with patients to facilitate access to care by answering telephone and other communications in a timely, customer-service oriented manner; responds to inquiries and information needs, and follows up with responsible parties when information is not readily available.
  • Resolves non-clinical questions within scope of knowledge while providing excellent customer service in person or by phone.
  • Performs ongoing documentation audits for medical necessity, plan of care, and other related tasks or requirements by payors (e.g., Medicare) using computer-based systems.
  • Schedules appointments for outpatient clinics and procedures as needed.
  • Obtains prior health insurance authorization for outpatient procedures and inpatient stays as needed.
  • Educates patients on pre-exam and, if necessary, post-exam requirements within scope.
  • Organizes, generates, and distributes patient reminders, results, and recall letters.
  • Establishes files, maintains information, and scans medical records in a timely and organized manner.
  • Ensures the accuracy of medical record documentation by performing quantitative and qualitative audits.
  • Manages, directs, and responds to incoming office correspondence (mail, email, faxes, telephone) and forwards queries to appropriate staff.
  • Attends and provides feedback for departmental staff meetings.
  • Role models the Principals of Family Hospital Management and Organizational Values.
  • Ensures compliance with HIPAA, EMTLA, and Joint Commission requirements, providing required associated literature to patients.
  • Performs other duties as assigned at the department and organizational level.

  • Maintains a courteous and respectful attitude toward colleagues and the public; avoids unprofessional language.
