Overview

Join Gynecologic Cancer Institute of Chicago, A Division of Affiliated Oncologists as a Patient Services Coordinator

AO specializes in treating a variety of cancers including lymphoma, lung, breast, prostate, gynecologic, colorectal, and head and neck cancers. Our physicians and staff are a multi-disciplinary team of highly experienced caregivers focused on helping patients and their families receive the best care and support possible.

Scope: Professionally greets and welcomes patients and their friends/family. Registers and schedules appointments for patients efficiently and timely. Answers, screens, and directs all incoming calls to appropriate personnel, relaying messages between patients and clinical staff. Performs general business office functions including patient payment posting, insurance verification and eligibility, obtaining and entering referrals, and account follow-up and payment resolution. Supports and adheres to the US Oncology Compliance Program, including the Code of Ethics, Business Standards, and US Oncology's Shared Values.

Responsibilities:

  • Greets patients and visitors promptly, courteously, and professionally.
  • Checks in patients and informs clinical staff of patient arrival.
  • Provides and explains paperwork for patients to complete prior to examination.
  • Ensures all insurance, demographic, and eligibility information is obtained and entered accurately and timely.
  • Collects, proofs for completeness, and files patient forms.
  • Updates demographics and insurance information in the system.
  • Collects co-pays and balances; provides receipts.
  • Confirms insurance verification and eligibility; obtains pre-authorization of services and referrals.
  • Answers, screens, and responds to routine questions, routes to appropriate personnel, or takes messages.
  • Pages clinic personnel as appropriate and communicates messages accurately and promptly.
  • Checks patients out after examination.
  • Schedules returning appointments according to physician and office guidelines.
  • Provides patients with appointment details and instructions.
  • Records cancellations and reschedules appointments, notifying staff accordingly.
  • Provides general administrative support, including filing charts and forms.
  • Maintains lobby area and office supplies in order.
  • Adheres to confidentiality, HIPAA, and other legal guidelines regarding patient records.
  • Performs other duties as assigned, including typing memos and forms.

Qualifications:

  • High school diploma or equivalent required.
  • At least 18 months of front desk/medical office receptionist experience preferred.
  • Experience with insurance forms and scheduling software required.
  • Proficiency with computer systems and Microsoft Office (Outlook, Word, Excel).
  • Must complete required e-learning courses within 90 days.
  • Demonstrates adaptability, work commitment, and quality focus.

Physical Demands: Must be able to sit, stand, walk, handle and lift patients and items up to 40 lbs, and have normal vision and hearing.

Work Environment: Exposure to communicable diseases, toxic substances, radiation, and medical preparations typical of an oncology/hematology clinic. May involve travel to different sites.
