Job summary

Mid-State Health Center is seeking a friendly receptionist to greet patients, answer phones, schedule appointments, and assist with daily office operations. You will help maintain patient records with attention to privacy and accuracy, ensuring a professional and welcoming environment.

The role requires at least a high school diploma, strong customer service skills, and familiarity with scheduling and basic insurance processes. Prior healthcare front-desk experience is preferred but not required.

Working in multiple scheduling platforms.Comply with federal HIPAA regulations and practice policies for the privacy and security of patient information; explain the law and our privacy policy to patients as needed; maintain appropriate documentation of access to medical records.Scheduling & RegistrationSchedule new and follow-up appointmentsVerify and update patient demographics and insurance informationCheck patients in and outManage appointment reminders and follow-up communicationsEnsures that patients are scheduled properly and appointments are confirmed. Accurately books, coordinates and reschedules patients’ appointments as needed.Maintains visiting specialist schedules, new patient paperwork, scheduling, consents and check in.Billing & InsuranceCollect co-pays, outstanding balances, and required documentationExplain basic billing questions or escalate as neededProcess insurance verifications and authorizationsAdministrative & Clerical TasksCommunicate effectively and clearly; works effectively with co-workers as a team member and performs duties of other clerical personnel.Manage incoming calls, messages, and emailsMaintain organized and accurate patient recordsPerform data entry and document managementCoordinate with clinical and administrative staffSupplements office staff as reception tasks permit by assisting with photocopying, computer input/typing, scheduling laboratory or radiology work as directed.Accessing CernerPerforms other duties as assigned.Operational SupportAssist with waiting room management and patient flowFollow HIPAA guidelines and internal policiesSupport quality improvement initiativesHandle patient concerns or route them appropriatelyThe job holder must demonstrate competencies applicable to the job position.EDUCATION: High school diploma or GED.EXPERIENCE: Minimum of one year experience in customer service setting, preferably six months receptionist experience in health care setting and experience with office equipment. Knowledge of medical terminology desirable.
