Job Description: Patient Service Representative (PSR)

Department: Primary Care | Status: Full-Time Exempt | Location: 6374 N Lincoln Ave. Chicago IL 60659

Reports To: Practice Manager

Job Summary:

The Patient Service Representative is the first impression our patients receive of the organization. The role is an important member of the team as this role will meet and greet patients, work in a confidential setting, and move patients through a pre-determined schedule of appointments. This position will be required to work some evenings and weekend hours.

Duties/Responsibilities:

  • Welcomes patients and visitors to the health center by greeting patients and visitors in person and on the telephone and answering inquiries or referring questions to other staff members.
  • Schedules appointments for the providers optimizing patient satisfaction, provider time and most effective use of examining and treatment rooms.
  • Always strive for excellence in customer service.
  • Understand, respect, and comply with patient confidentiality and HIPAA regulations.
  • Register new patients in the electronic health record.
  • Provide health center orientation to new patients and their families.
  • Verify patient insurance, address, phone number, demographics and eligibility are accurate and current.
  • Receive and process patient balances and co-payments at time of service.
  • Participate in daily care team huddles.
  • Assist with inventory management of office supplies, and forms.
  • Maintain open lines of communication with health center staff and stakeholders.
  • Support organization’s team-based approach to coordinate patient care.
  • Participate in patient call campaigns as needed.
  • Endeavors to keep patients on schedule by reminding provider of service delays.
  • Assists ill or distraught patients, as necessary by providing support around scheduling participant transportation as needed.
  • Maintains reception area in a neat and orderly condition.
  • Submits maintenance orders to building maintenance, as necessary.
  • Assists patients with insurance papers and billing questions.
  • Opens and sorts the office mail.
  • Participates in the medical office emergency routine when required. Call for ambulance or EMS or assist other staff members as needed.

Required Skills/Abilities:

  • Personality and demeanor to deal with the public and assist ill, older, or distraught patients.
  • Fundamental office skills such as fielding calls, scheduling appointments, typing, and filing.
  • Excellent organizational skills.

Education and Experience:

  • Graduate of a certified medical office training course preferred.
  • High school graduate or equivalent required.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times.
