Qualifications

  • High school diploma or GED required.
  • Medical Office Training Certificate preferred or equivalent medical office experience.
  • One year experience in customer service preferred.
  • One year experience with medical terminology preferred.
  • Must have good organizational skills.
  • Must have the ability to work independently and in a team environment.
  • Must have strong communication skills.
  • Proficient in computers and keyboarding.
  • Ability to manage multiple tasks simultaneously.
  • Must have a service-oriented personality, great customer service skills required.

Responsibilities

  • Greets patients in waiting area and receives registration/visitation information to ensure proper care.
  • Performs patient check-in procedures, including collecting demographic and insurance information.
  • Collects co-pays, deductibles and other fees; sets up payment plans per APC policy; assists with billing questions.
  • Answers all telephone calls; ensures inquiries are handled, transferred, or closed properly.
  • Checks messages and completes system tasks; replies to emails/voicemails and forwards information as needed.
  • Performs patient check-out procedures: schedules follow-up, issues reminder cards, records payments.

Job Summary:

The Patient Service Coordinator is responsible for welcoming patients by greeting them in a pleasant manner, updating their patient file and directing them appropriately throughout their visit; ensuring that their visit is a pleasant experience.

For the exceptional and motivated, successful candidate, you will have the opportunity to cross-train on basic medical assistant responsibilities and how to perform introductory lab protocols & tests in our on-site diagnostic laboratory to aid in patient care and compliance.

Duties:

Front Desk Coordination

  • Greets patients in waiting area and receives all requisite registration/visitation information and forms to ensure proper care.
  • Performs patient check-in procedures, including but not limited to collecting demographic and insurance information for verification and updates; assuring proper completion of registration forms; scanning of insurance card(s)/photo IDs.
  • Collects co-pays, deductibles and/or other fees and balances due; sets up payment plans in accordance with APC policy. Assist patients with insurance and billing questions.
  • Answers all telephone calls, ensuring that patient inquiries are handled, transferred, and/or closed properly.
  • Checks all administrative messages (voicemails, emails, etc.) in a timely manner and completes system tasks as assigned; including replying to email & voicemail inquiries, managing clinical inboxes, and sending information to referring providers.
  • Performs patient check-out procedures, including but not limited to scheduling provider noted follow-up/procedural appointments; issuing appointment reminder cards; collecting co-pays and/or deductibles; and recording payment notes.

Insurance Coordination

  • Obtains and verifies patient demographics, insurance information, and other pertinent details in new and current patient charts to guarantee accurate claim payments; correctly updating the system with any account changes.
  • Prior to every appointment, contacts appropriate primary and secondary insurance carriers for patient eligibility and benefits details; documenting deductible amount, co-pay information, and referral/preauthorization requirements in accordance with APC policy. Completes electronic insurance verifications and appropriately notifies each patient of eligibility status.
  • Obtains insurance carrier authorizations and provider referrals as required; ensures the existence of proper system documentation three days prior to each patient appointment (with the exception of add-ons).
  • Obtains Workers Compensation authorizations and approvals from applicable case managers/adjusters.
  • Monitors appointment add-ons to complete insurance verifications by updating and reviewing assigned schedules/physicians/offices.

Additional Functions

  • Assists in ensuring that all work, breakroom and patient spaces are organized, clean and professional.
  • Understands, complies with, and enforces all APC policies, procedures, codes of conduct, and OSHA and HIPAA privacy rules.
  • Adhere to and uphold all applicable federal and state compliance regulations as well as APC's Employee Handbook, compliance policies and procedures, and applicable healthcare fraud, waste and abuse laws.
  • All other duties as assigned.

  • Vision and hearing corrected to normal limits.
