JCCT- Patient Recruitment Coordinator - HYBRID ROLE

Purpose

Answering inbound and making outbound calls to recruit patients into sites clinical research studies. Provide extremely high-quality customer service and ensure critical information is captured and entered into site database via CTMS system across the Site Network.

Job Summary

Reporting directly to the Manager of Patient Recruitment, the Site Patient Recruitment Specialist is responsible for identifying, engaging, and qualifying potential clinical trial participants through outbound and inbound communication channels. This role conducts patient pre-screening based on study inclusion and exclusion criteria, completes detailed medical histories in the CTMS, and schedules qualified individuals for screening visits.

Key Responsibilities (Essential Functions)
  • Conduct outbound patient recruitment calls and respond to inbound inquiries from potential clinical trial participants.
  • Pre-screen potential subjects by reviewing medical history and assessing eligibility based on study inclusion and exclusion criteria.
  • Process and manage leads from multiple recruitment sources (advertising, databases, referrals, chart reviews, and digital channels).
  • Accurately document patient interactions, medical history, and screening information in the CTMS and recruitment systems.
  • Schedule qualified patients for pre-screening and screening visits at research sites.
  • Maintain timely follow-up with prospective participants to support engagement and enrollment.
  • Ensure compliance with HIPAA, patient confidentiality standards, and organizational policies.
  • Develop and maintain a strong working knowledge of active clinical trial protocols, diagnoses, and medical terminology.
  • Provide high-quality customer service to patients, referring physicians, and internal stakeholders.
  • Collaborate with internal teams to support recruitment goals and maintain efficient recruitment workflows.
Education and Experience
  • High School Diploma (College Degree preferred)
  • 2–4 years of professional experience in sales, medical or clinical research setting (patient recruiting experience strongly preferred)

  • Able to work in Central Standard Timezone
  • Able to work a hybrid schedule where on remote days, the workspace is private since personal health information is shared.
  • Ability to build rapport quickly with potential participants, explain clinical studies clearly, and handle sensitive health conversations with professionalism and empathy.
  • Strong ability to accurately assess eligibility criteria, document medical histories, and maintain precise records within CTMS and recruitment systems.
  • Capable of managing a high volume of patient leads, follow-ups, and scheduling tasks while maintaining responsiveness and meeting recruitment targets.
