Qualifications

Responsibilities

  • Apply treatment information for radiation oncology cases and validate summaries in MOSAIQ and other sources.
  • Identify cases to abstract from various sources and ensure thorough case-finding in CNExT and Epic.
  • Assess cases to determine if correspondence is needed to obtain additional staging or diagnostic data.
  • Perform quality editing of completed cases (up to 50 daily).
  • Lead quality-control projects and assist manager with training CTR-eligible staff.

Job Description

This level requires special skills and knowledge in several areas such as coding, data processing, and billing systems, governmental systems, and programs. The role involves identifying specified malignant cases to be abstracted and reported by the UCSF Medical Center Cancer Registry from various reports, medical records, and electronic files. The candidate must abstract and code information in the prescribed format to satisfy the requirements of the State, Commission on Cancer, and Surveillance, Epidemiology and End Results program of the National Cancer Institute. The position maintains systems programs for tracking cases and quality control and must be familiar with oncology treatment guidelines and practices. The candidate will coordinate and lead quality control projects involving other registrars and complete assignments within designated time frames and according to requested specifications. Certification as a Certified Tumor Registrar (CTR) is required.

Responsibilities
  • Accurately abstract and code pertinent information from medical records in the prescribed format, satisfying California Cancer Registry (CCR) reporting requirements, Commission on Cancer, and departmental standards using CNExT cancer registry software while maintaining a >97% accuracy rate.
  • Apply treatment information for radiation oncology cases, review treatment summaries, verify existing treatment and follow‑up, and apply new or missing information from hard‑copy summaries and MOSAIQ database.
  • Identify cases to be abstracted and coded through various sources (CAS, ADT billing, dermatopathology, neuropathology) and ensure all case‑finding sources are thoroughly investigated in CNExT and APEX (Epic).
  • Assess each case to determine if correspondence should be sent to collect further staging or diagnostic information from outside providers.
  • Perform visual editing of completed cases (up to 50 cases per day).
  • Lead supervising other registrars on quality‑control projects such as re‑abstracting audits, TNM staging audits, and re‑case‑finding audits, and assist the manager with training CTR‑eligible staff.
Qualifications
  • Minimum 5 years of relevant hospital experience, including at least 3 years abstracting complex cases at an Academic/Teaching Cancer Center or NCI‑designated Comprehensive Cancer Center.
  • Complete knowledge of mandatory California Cancer Registry reportability, coding, and abstracting requirements, and current mandatory standards for cancer program accreditation by the Commission on Cancer.
  • Extensive knowledge of human anatomy and physiology, medical terminology, oncology terminology, oncology physiology, and oncology diagnostic and treatment modalities.
  • Proficiency in morphology and topographic site coding by ICD‑9 and ICD‑0, and expertise in current staging schemes (SEER Summary, SEER Extent of Disease, Collaborative Stage, and AJCC TNM).
  • Good computer skills with working knowledge of CNExT cancer reporting software, CAS case‑finding module, MS Word, Excel, and other office applications.
  • Experience extracting cancer information from EPIC electronic medical record software.
  • Ability to abstract a full case within 1.5–2 hours and meet a minimum quota of 80–100 cases per month if employed full time.
  • Strong communication and writing skills and ability to manipulate databases for reports and studies.
  • Current Certified Tumor Registrar (CTR) certification by the National Cancer Registrars Association.
  • Ability to navigate remote access through Citrix Receiver, install required security software (Big Fix, Pulse Secure/DUO), run MS Windows 10, and demonstrate DDPE encryption.
Required Licenses and Certifications
  • Current CTR certification by the National Board for Certification of Registrars (NBCR) with ongoing CEUs for continuous certification.
