The Role
You are the first voice a patient hears and the first face they see. That matters enormously to us. As our Patient Care Coordinator, you own the front-office experience from first contact to checkout. You keep the schedule moving, the phones answered, the records accurate, and the patients feeling cared for at every step.
This is not a passive role. We need someone who anticipates needs, solves problems before they become fires, and holds the standard without being asked twice.
What You Will Do
Patient Experience
- Greet patients warmly and manage check-in and check-out with accuracy and efficiency
- Answer calls, schedule appointments, and conduct appointment reminders and follow-up outreach
- Communicate appointment costs, insurance expectations, and financial policies clearly and confidently
- Maintain a clean, welcoming front office and common areas
Administrative and Records
- Open the office on time and ensure daily readiness before the first patient arrives
- Maintain and update patient records in our EMR system with accuracy
- Process incoming mail, scan and file documents, and track referral sources
- Process payments, handle invoices, and prepare basic reports
Insurance and Billing
- Provide cost estimates to prospective patients
- File insurance claims and assist with billing documentation
- Obtain required patient signatures (ABNs, Good Faith Estimates, non-coverage notices)
- Maintain full confidentiality of all patient and business information in compliance with HIPAA
Lead and Referral Management
- Process and follow up on new leads and physician referrals
- Track referral sources and patient responses to marketing efforts
- Assist with physician outreach, community events, and marketing materials as needed
General Office Support
- Perform light office maintenance and supply restocking
- Occasional errands (post office, FedEx, etc.)
- Additional tasks as assigned by the supervising audiologist or office manager
What We Are Looking For
Required
- Exceptional reliability – consistent, on-time attendance is non-negotiable
- Strong verbal and written communication skills with proper grammar and professional tone
- Proficiency in office software (EMR experience a plus; we will train the right person)
- Ability to manage multiple priorities in a busy clinical environment without losing accuracy
- High level of discretion with sensitive patient and business information
- Calm, professional, and patient-centered demeanor under pressure
