Job description

This position reports to the Patient Access Supervisor or Manager and provides patient services and administrative support in ancillary operations. The role involves interacting with parents, patients, physicians, and staff under moderate supervision in a courteous manner. Responsibilities include collecting and verifying demographic information, providing notifications according to insurance requirements, scheduling appointments, and potentially floating to various ancillary patient access areas such as ED, RAD, LAB, AMSAC, etc. The next step in the career ladder is Senior Patient Access Rep.

2 years related experience (Required)

Required Skills/Knowledge
Broad knowledge of administrative processes, customer service skills, computer literacy, and experience with Microsoft Office (Word & Excel). Completion of Patient Access training and passing all competency assessments. Ability to type at least 35 words per minute.

Functional Accountabilities

Patient Services
  • Demonstrate accuracy in scheduling patients, verifying charge and diagnostic codes, and entering information into billing/registration systems.
  • Complete online registration with parents or guardians via telephone or in person professionally and courteously.
  • Collect accurate demographic and insurance information, update systems, and complete bedside registration for ED patients.
  • Reschedule no-shows or cancellations and schedule follow-up appointments as needed.
  • Greet patients and parents courteously, verify insurance, obtain consents, and ensure proper documentation and distribution of compliance materials.
  • Respond to patient portal requests and manage related work lists.
Information Verification
  • Verify insurance eligibility and ensure managed care compliance.
  • Address authorization issues promptly, contact providers for missing authorizations, and inform parents about referral or pre-authorization requirements.
  • Discuss payment responsibilities with parents and counsel or refer them to Financial Information Center as needed.
  • Verify pre-authorization and referral information, and ensure systems are synchronized.
Cash Collection
  • Collect and record payments, maintain cash controls, and help meet departmental collection targets.
Billing Preparation
  • Ensure all necessary orders, scripts, and referrals are obtained before services.
  • Link appointments in scheduling system and conduct daily quality reviews of registrations.
Office Support
  • Answer phones, manage voicemails, distribute mail, maintain files and supplies, and keep the reception area tidy. Respond to emails timely and provide other support as needed.
Organizational Accountabilities
  • Anticipate and respond to customer needs, demonstrate teamwork, contribute to a positive work environment, and identify process improvements.
  • Use resources efficiently, promote safety, and communicate clearly and accurately.
