Job Description - Patient Access Representative (Part-time | 8 hours per week) (250001CJ)

Position Overview

This position reports to the Patient Access Supervisor or Manager. The role involves providing patient services and administrative support across ancillary operations. The representative interacts with parents, patients, physicians, and staff under moderate supervision, ensuring courteous and professional communication. Responsibilities include collecting and verifying demographic information, scheduling appointments, and providing notifications according to insurance requirements. The position may require floating to various ancillary patient access areas (ED, RAD, LAB, AMSAC, etc.). Advancement to Senior Patient Access Rep is possible.

Qualifications

  • Minimum Education: High School Diploma or GED (Required)
  • Minimum Work Experience: 2 years related experience (Required)
  • Skills/Knowledge: Knowledge of administrative processes, customer service skills, computer literacy, Microsoft Office (Word & Excel) preferred, typing speed of at least 35 WPM, completion of Patient Access training and passing competency assessments.

Core Responsibilities

  1. Patient Services
  • Accurately schedule patients, verify charge and diagnostic codes, and enter data into billing/registration systems.
  • Perform registration via computer, in person or by phone, courteously.
  • Collect and update demographic and insurance information, including bedside registration for ED patients.
  • Reschedule missed appointments and schedule follow-ups.
  • Greet patients courteously, obtain necessary consents, and manage documentation according to policies.
  • Handle patient portal requests and correspondence.
  1. Information Verification
  • Verify insurance eligibility and manage authorization issues, informing leadership of discrepancies.
  • Notify patients about referral forms or pre-authorizations needed.
  • Discuss payment obligations professionally and refer to Financial Information Center if needed.
  • Ensure pre-authorization and referral documentation are complete prior to procedures.
  1. Cash Collection
  • Collect and record payments, maintain cash controls, and support departmental collection targets.
  1. Billing Preparation
  • Ensure all orders/referrals are obtained before services, and link appointments correctly.
  • Review registration accuracy in real-time.
  1. Office Support
  • Answer calls, manage mail, maintain files and supplies, and keep the workspace clean.
  • Respond to emails promptly and support other administrative tasks as needed.
