Job summary

Westfields Hospital & Clinic is seeking a Patient Access Representative to join the patient access team. Responsibilities include check-in, registration, scheduling, and handling inquiries by phone, email, or fax.

The role covers the Emergency Room desk with varying early/late shifts and some weekend/holiday rotation. Qualifications include a high school diploma or equivalent, experience in healthcare or customer service, and proficiency with Microsoft Office.

Qualifications

  • High School graduate or equivalent experience.
  • 2-year degree in related studies; and/or equivalent experience.
  • Minimum one year experience in a hospital or medical clinic setting or equivalent.
  • Experience in a customer service setting.
  • Experience with Microsoft products, Word, Excel, Outlook, etc.

Responsibilities

  • Schedule patients accurately and appropriately, confirming arrival and instructions.
  • Pre-register patients by verifying demographics and insurance, creating HAR.
  • Register and check in patients for appointments and direct them accordingly.
  • Provide forms as designated by staff and collect completed forms.
  • Collect and post patient co-pays, deductibles, and balances.
  • Assist patients with follow-up appointments at checkout.

Job Description

Patient Access Representatives are assigned to a primary check-in/Registration area on campus within the patient access team. They may perform admissions, check-in, registration, and scheduling functions, as well as address inquiries via telephone, email or fax.

Clinic Scheduling, Registration and Check In
  • Accurately and appropriately schedules patients.
    • Confirm arrival time, appointment time, and any other applicable instructions.
    • Educate patient of any preparation and/or instructions needed prior to procedure.
    • Pre-register patients by verifying demographics and insurance coverage. Create the Hospital Account Record (HAR).
    • Look for existing orders and link them to appointment.
    • Monitor and schedule the Referral Workques as assigned.
  • Accurately and appropriately register and check in patients for their appointments.
    • Check in patients for their appointments, complete all needed information and direct them to the appropriate location.
    • Provide appropriate forms as designated by clinical staff and/or standard practice.
    • Receive and enter appropriately all patient forms dropped off for completion. Determine if the patient needs to be seen to complete the form, and/or have patient complete their portion of the forms. Route forms according to standard practice.
  • Collects and posts patient co-pays/deductibles/balances consistently and accurately.
  • Assists patients with any follow up appointments at check out
Work Schedule
  • 8 hrs weekly, .2fte, Casual
  • Casual Position
  • Covering Emergency Room registration desk. Shift schedule: 6am-2:30pm and/or 2:30pm-11pm, including some weekends and a holiday rotation.
  • Opportunities to cross train in additional areas and pick up shifts
Required Qualifications
