Qualifications

Job description

Position Summary

Working under the supervision of the Clinic Manager, the Patient Access Representative will work closely with the medical, mental health, and recovery staff, as well as other personnel, to ensure smooth and efficient operations. Responsibilities include reception, data collection, answering phones, scheduling appointments, and providing overall administrative support to health services.

Hourly Rate

$17.79 - $22.21 per hour

Essential Job Functions

Includes scheduling, data entry and reporting via computer, operating office equipment, sorting, research, attending meetings, interacting with others, and managing multiple schedules.

Major Areas Of Responsibilities
  • Communicate effectively with employees, patients, clients, volunteers, visitors, and vendors.
  • Schedule patient appointments for all health center services.
  • Collect and update patient information, including demographics, insurance, sliding fee, and copays.
  • Perform daily data entry, charge entry, and payment posting.
  • Verify appointments via phone two days prior and update records accordingly.
  • Scan patient paperwork into the Electronic Health Record (EHR).
  • Manage tasks such as making referrals, scheduling specialist appointments, and coordinating with Case Management.
  • Handle incoming medical records via fax or mail, organizing and distributing them.
  • Coordinate with RN/LPN for vaccinations and lab visits.
  • Assist in planning and managing patient flow and daily clinic operations.
  • Maintain a clean and professional environment in waiting and reception areas.
  • Maintain patient records in compliance with HIPAA and provider standards.
  • Adhere to organizational standards and policies.
  • Contribute to a positive, respectful, and inclusive work environment, demonstrating cultural competency and sensitivity to diversity.
  • Perform other duties as assigned.
Education/Licensure

High school diploma or equivalent required.

Knowledge, Skills, Abilities, and Other Qualifications
  • At least two years of medical reception experience or equivalent training.
  • Excellent customer service skills.
  • Knowledge of administrative procedures, CPT/ICD coding, and billing preferred.
  • Experience with EMR and billing software preferred.
  • Proficiency in Microsoft Office.
  • Strong communication and organizational skills.
  • Ability to work independently and under pressure.
  • Respect for confidentiality and professionalism.
  • Sensitivity and competence in working with diverse populations, including LGBTQ+ communities and individuals affected by HIV/AIDS.
