Job description

Customer service liaison responsible for creating a positive first impression at the medical center. Greets patients, accurately collects demographic and regulatory information (HIPAA, Medicare, Mass Pro, JACHO, DPH, EMTALA, Subscriber, Healthcare Proxy), obtains necessary signatures, and provides regulatory paperwork. Checks insurance eligibility and collects copays. Verifies patient identity through EMPI search and re-verification at bracelet placement. Prints paperwork and escorts patients to their destinations. Handles phone inquiries, quality checks of registrations, and assists hospital departments in accurate patient registration. Manages day-to-day bed placement, including scheduled, urgent, and emergency admissions, transfers, discharges, and death procedures. Collaborates with scheduling and precertification teams.

IV. Responsibilities/Essential Functions:
  1. Provide superior customer service to internal and external clients, in accordance with Service Excellence Standards.
  2. Obtain and accurately enter patient information into Meditech:
  • Correct medical record number
  • Demographics, DOB, address, maiden name, SSN
  • Insurance details
  • Reason for visit, physicians, locations, services, occurrence codes
  • Gather all regulatory data: health care proxy, HIPAA notices, Medicare questions, race and ethnicity.
  • Verify insurance information and eligibility.
  • Obtain signatures for consent, HIPAA privacy notice, and financial releases.
  • Monitor and ensure quality of registration data daily.
  • Assign beds based on service and diagnosis, maintain census and admission logs, and perform transfers promptly.
  • Maintain confidentiality at all times.
  • Answer phones promptly and know downtime procedures.
  • Handle death procedures, including reporting and documentation.
  • Cross-train across registration areas and assume front desk responsibilities as needed.
  • Follow departmental policies and procedures.
  • V. Reporting Requirements:

    Report to Team Leaders, Supervisors, Managers of Patient Access, and the Administrative Director of Patient Access.

    • Deliver exceptional customer service.
    • Ensure accurate data entry and confidentiality.
    • Meet all regulatory requirements.
    • Secure necessary signatures and paperwork.
    • Check revenue logs daily and adhere to policies and procedures.
    VII. Qualifications:

    High School diploma required; some college preferred.

    2-4 years healthcare experience preferred, with knowledge of medical terminology, registration, and insurance processes.
