POSITION SUMMARY:

Responsible for insurance verification, all outpatient treatment authorizations, and registration of Livingston Rehab & Therapy Services patients and visits. Responsible as the telephone operator for the department. Answers telephone in polite manner and communicates information to the appropriate personnel/patient or family member. Ensures that all patient information is collected, follows all relevant policies and procedures for registration, and admits all patients on EMR system. Receptionist is the first contact that a patient has with the department and must provide a positive environment for the patients and others who visit the department. Records co-pays, deductibles, co-insurance, and other insurance information in physical chart and EMR. Collects payments when applicable as per hospital's collection policies.

PRIMARY RESPONSIBILITIES & AUTHORITIES:
  • Verify insurance benefits for outpatients at their initial visit and at each month as active patient.
  • Oversee all authorizations as required for treatment approval and retro authorizations as needed.
  • Keep track of all visit limitations, expiration dates, modality limits, and other policy-specific requirements. Ensure clinical staff are aware of all clinical requirements by the insurance that affect patient care.
  • Keep track of all Medicare requirements and limitations for physical therapy in chart and on computer.
  • Contact other physician's offices/medical practices to obtain appropriate imaging and records as needed. Obtain updated orders from physicians when appropriate.
  • Supervise all information in patient's physical chart: Maintain correct chart order, ensure all needed information is in chart at time of service, prepare all charts for visit dates, and audit all charts after patients' discharge of treatment.
  • Register all patients on EMR at initial visit and update information as needed. Prepare all billing cycles for active patients on EMR at the end of each month which includes providing needed information to prepare each claim to bill.
  • Supervise the cycle of all Medicare 10th visit progress and re-evaluations by keeping track of date due, alerting appropriate clinical staff, and putting any insurance-required forms in chart to be filled out.
  • Keep up with Plan of Care/Certification by putting form for clinician (ei PT, OT, SLP) to fill out at initial evaluation and when duration expires and verifying physician signature dates.
  • Post all patient charges for both outpatient and inpatient treatments. Outpatient charges are cross-referenced with physical chart for accuracy before posting the charges on EMR.
  • Accept and post payments in EMR and give payment and receipt to PFS.
  • Work in conjunction with Billing department providing chart notes and obtaining authorizations when needed. Prepare patient's monthly billing cycle. Also does end of month billing spreadsheet to check all active patients' accounts for each month and ensure all are prepared to bill.
  • Update Policy and Procedures manual and assist with developing and implementing.
  • Assist with scheduling, handling new patient paperwork, and inventory when needed.
  • Accept and screen telephone calls and/or route calls appropriately.
  • Check voice mail upon arrival to clinic each morning and follow up appropriately.
  • Must attend all mandatory in-services.
OTHER DUTIES AND RESPONSIBILITIES:

Responsible for monthly cleaning of appropriate equipment and curtains

Other duties as assigned.

MINIMUM QUALIFICATIONS (EDUCATION, EXPERIENCE, SKILLS, ABILITIES):
  • High school diploma or equivalent.
  • Six (6) months experience preferred but not mandatory.
  • Ability to interact and communicate with the public in a positive manner.
  • Ability to be flexible, organized and function well in stressful situations.
  • Basic computer knowledge
  • Basic knowledge of office equipment usage (phone, fax, copier, etc)
  • CPR certification
OTHER SPECIAL REQUIREMENTS (LICENSES, CERTIFICATIONS, REGISTRATIONS, ETC.):

BLS CPR

PHYSICAL DEMANDS:
  • May have to remain seated for long periods of time.
  • Some walking, standing, bending, or stooping required at times.
  • Light lifting, no more than 20-25 pounds, very sporadically.
WORK ENVIRONMENT:

Work is typically performed in an adequately lighted and climate-controlled department or patient room.
