Job summary

PRAB, Inc. in Kalamazoo, MI is seeking a Parts Department Manager to lead quoting, order entry, and support for internal and external customers.

You will manage the team responsible for computer-aided tools and process improvement within the Parts Department. Responsibilities include maintaining price lists, ensuring timely quotes, coordinating with engineering and service, and driving metrics to increase department efficiency while upholding high ethical standards and customer service

Qualifications

• Associate degree or relevant experience required.
• Proficient with MS Word, Excel and Outlook.
• Ability to read engineering drawings and electrical schematics.
• Experience with AutoCAD and BOM handling.
• Strong verbal and written communication with customers.

Responsibilities

• Lead the Quoting, Utility and Order Entry Specialist teams.
• Maintain price lists for all product lines.
• Accurately enter parts and services to be quoted.
• Ensure timely quotes: 24-hour standard; emergency quotes by end of day.
• Collaborate with engineering and service groups to resolve discrepancies.
• Promote department excellence and develop metrics.

The Parts Department Manager’s responsibilities include effectively communicating with customers, both internal and external. Leading the Quoting, Utility and Order Entry Specialist’s. This position reports to the Director of Sales.

Responsibilities

The following activities are required in this position:

Promoting excellence throughout the department

Locate drawings and reference information using computer and paper files

Use CRM & ERP estimating tools

Accurately enter parts/service to be quoted

Ability to qualify the customer’s request and determine the proper part needed to fix issue, consulting with technical support and engineering when necessary

Maintain a positive attitude when dealing with difficult customers

Mange/update Parts Order Entry SOP as changes happen and document accordingly

Manage/update Quoting SOP as changes happen and document accordingly

Manage/update current Price List for all KMC Global Product Lines

Simple releasable part quotes need to be completed within 24 hours of receipt

Emergency quotes need to be completed before EOB the day received

Work with team members to ensure communication with customer is current, to provide steady updates pertaining to quotes and orders

Proper disposal and handling of proprietary documents

Travel at times in an effort to build product knowledge as necessary

Answer phone calls immediately – Assist with phone support for service representatives that are absent, or pre-disposed

Qualify quote requests for accurate descriptions and customer information – to include bill to ship to and job number

Perform annual reviews for quoting, order entry and utility personnel

Development and management of metrics to measure department efficiency & performance
