Job description

POSITION: PARTS COUNTERPERSON

DEPARTMENT: PARTS

REPORTS TO: PARTS MANAGER

FLSA STATUS: EXEMPT

PURPOSE:

The Parts Counterperson sells parts to all available customers, over the counter, through the shop, or on the phone.

ESSENTIAL DUTIES:

  1. Assist walk-in customers in selecting required parts, suggest companion requirements, offer specials, and ensure that the customer is exposed to the full product line.
  2. Pull purchased parts from stock.
  3. If the part is not in stock, determine availability and submit an emergency order if requested by the customer or technician.
  4. Answer phone calls, providing price quotes and other information.
  5. Assist outside sales representatives with their orders.
  6. Set up orders for daily shipment, delivery, or pick-up.
  7. Verify WILL CALL and BACKORDER files weekly and return to vendors or stock those items not required.
  8. Solicit assigned accounts by phone.
  9. Assist service technicians in selecting parts needed for repairs in process.
  10. Notify the service desk and the customer that ordered parts have been received.
  11. Ensure that before parts can be charged out, the technician presents a repair order.
  12. Display seasonal parts and accessories attractively.
  13. Keep parts catalogs and price books current.
  14. Maintain cleanliness and organization in bins, aisles, and storage areas.
  15. Provide friendly, professional, and efficient service to customers and co-workers.
  16. Offer the same high level of service to other dealership departments as given to external customers.
  17. Issue credit slips for returned parts, verifying original invoice details. Exceptions require approval from the Parts Manager or Office Manager.
  18. When processing tax-exempt sales, obtain full customer details and signature.
  19. Present the customer with the white copy of the invoice after removing the tear strip.
  20. Keep counters and parts areas clean and uncluttered.
  21. Replenish inventory daily.
  22. Report unsatisfactory conditions to the Parts Manager.
  23. Check invoices against orders and stock shelves promptly.
  24. Help maintain orderly parts storage.
  25. Keep counters and parts area free of litter.
  26. Assist in updating parts catalogs.
  27. Inform technicians and customers when special order parts arrive.
  28. Stay current on new products and updates.
  29. Participate in all available training programs.
  30. If customers pay by invoice, record payment details accurately.
  31. Keep computer terminals clean.

QUALIFICATIONS:

  1. High school diploma or equivalent.
  2. Ability to read and understand instructions and information.
  3. At least one year of experience in an automotive parts department.
  4. One year of sales experience.
  5. Professional personal appearance.
  6. Ability to work well with the public, sometimes handling multiple customers simultaneously.
  7. Must wear a dealership uniform at all times.
