Job summary

Better Collision Centers Inc. is hiring a Parts Coordinator to manage ordering, receiving, storing, dispatching and returning parts for each repair order, ensuring accuracy and timely availability for shop needs.

You will liaise with vendors, enter invoices into the MIS, track parts by RO number, and help maintain profitability by monitoring pricing changes and vendor discounts, while supporting a fast-paced auto body environment.

Qualifications

  • High school diploma or equivalent required.
  • 1–3+ years’ experience with automotive parts preferred.
  • Customer service oriented with strong organizational skills.
  • I-CAR registration (Gold Class) desirable.
  • Excellent written and verbal communication.
  • Detail oriented with high accuracy.
  • Able to work in a fast-paced environment.
  • Familiarity with Summit, Repair Centre MIS, Mitchell and Audatex.
  • Lifts and handles parts up to 50 lbs.

Responsibilities

  • Communicate all customer requests and needs to appropriate team members.
  • Order and receive parts per repair orders; verify quality, correctness and quantity.
  • Ensure timely parts distribution to the shop per production schedule.
  • Enter all parts invoices into the MIS and label/track parts by RO number; store with vehicle/schedule.
  • Label and track parts and communicate price changes to team.
  • Order and receive supplemental parts in CCC One; monitor vendor invoices.
  • Reconciling vendor invoice history; ensure invoices are posted/scanned timely.
  • Ensure negotiated discounts are reflected to maintain margins.

The Parts Coordinator’s primary responsibility and accountability is to provide an exceptional and successful customer experience while proactively managing the process of ordering, receiving, storing, dispatching and returning parts for each repair order. The Parts Coordinator plays a pivotal role in the success of the customer’s experience by verifying the accuracy and quality of parts received in a timely manner as per the production schedule and vehicle needs.

Key Responsibilities:
  • Communicate all customer requests and needs to appropriate team members.
  • Work with vendors to order and receive all parts as indicated on the repair orders, confirming the quality, correctness, and quantity of parts received, accurately identifying parts necessary to complete repairs in the shop.
  • Ensure timely parts distribution to the shop in accordance with the production schedule.
  • Enter all parts invoices into the recommended Management Information System (MIS).Label and track all parts by the R.O.# and store them with the vehicle and/or scheduled repairs; Communicate all Parts Price Changes (also known as Parts Price Increases - PPI) to all required team members.
  • Order and receive supplemental Parts in CCC One, monitor performance of parts,
  • materials, and sublet vendors. Ensure daily reconciliation of the parts vendor invoice history report
  • Ensure invoices and credit memos are posted and filed/scanned in a timely manner.
  • Ensure vendor invoices have the correct negotiated discount to maintain proper profit margins.

Requirements
  • High School Diploma or equivalent
  • 1-3+ years of experience working with automotive parts (auto body parts is a bonus)
  • Customer Service Oriented and strong organizational ability to manage pressure and conflicting demands and prioritize tasks takes initiative in problem solving situations
  • I-Car Registered (working towards Gold Class certification
  • Communicate effectively, both verbally and in writing
  • Strong attention to detail and a high degree of accuracy.
  • Effectively manage a fast-paced environment, demonstrating multi-tasking ability while working under pressure
  • Working knowledge of vehicle repairs practices
  • Management Information System: Summit, Repair Centre
  • Working Knowledge of: Mitchell, Audatex
  • Parts sourcing: Car-part, Progi, APU, LKQ B2B
  • Solid problem-solving abilities
  • Above average computer proficiency
  • Above average organizational skills
  • Ability to keep up and succeed in a fast-paced working environment
  • Ability to work well with others and achieve common goals
  • Other Duties as assigned
  • Frequently required to bend, crouch, reach, handle tools
  • Lift in excess of 50 lbs. of materials
