Northern Jet Management Inc. is seeking an on-site Inventory Coordinator in Orlando, FL.

You will coordinate receipt, storage, and distribution of aircraft parts and materials, issue parts to maintenance with precise documentation, and maintain accurate inventory records across FAA-critical systems. The role requires strong organization, detail-orientation, and communication to support maintenance and vendors, ensuring timely approvals and minimizing aircraft downtime in a fast-paced aviation

This position is responsible for coordinating aircraft parts inventory, receiving and issuing materials, maintaining accurate records and traceability documentation, assisting with purchasing and vendor coordination, and supporting Maintenance with both scheduled and unscheduled aircraft needs.

The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced aviation maintenance environment where priorities can change quickly. This role requires strong communication skills and the ability to coordinate effectively with maintenance technicians, leadership, vendors, and other departments to help minimize aircraft downtime.

This is a full-time, on-site position based in Orlando, Florida.

Responsibilities: Key Responsibilities:

• Coordinate the receipt, storage, organization, and distribution of aircraft parts, materials, components, and supplies
• Issue parts and materials to maintenance personnel while ensuring accurate documentation and inventory transactions
• Maintain accurate inventory records within the company’s inventory and maintenance tracking systems
• Verify incoming aircraft parts and materials for proper documentation, certifications, condition, quantity, and traceability
• Ensure aircraft parts are properly labeled, stored, preserved, and controlled in accordance with company procedures and applicable FAA requirements
• Review and maintain supporting documentation, including FAA Form 8130-3, Certificates of Conformance, packing slips, invoices, and other required records
• Coordinate parts requirements with maintenance technicians and leadership for scheduled and unscheduled maintenance events
• Assist with sourcing and purchasing aircraft parts, consumables, and materials from approved vendors
• Communicate with vendors regarding pricing, availability, lead times, shipping status, and order discrepancies
• Provide responsive parts support for Aircraft on Ground (AOG) and other time-sensitive maintenance requirements
• Arrange and track expedited shipments, overnight deliveries, and other transportation of aircraft parts as required
• Monitor open purchase orders, backorders, and incoming shipments and communicate status updates to appropriate team members
• Process core returns, warranty items, exchanges, repairs, and vendor returns while maintaining accurate tracking documentation
• Assist with cycle counts, physical inventories, inventory reconciliation, and identification of discrepancies
• Monitor inventory levels and assist with maintaining appropriate stock levels for frequently used parts and consumables
• Maintain organization and cleanliness of parts rooms, receiving areas, storage locations, and inventory spaces
• Help identify obsolete, expired, damaged, or unserviceable materials and ensure they are properly segregated and processed
• Maintain appropriate separation and identification of serviceable, unserviceable, quarantined, and rejected aircraft parts
• Coordinate with Maintenance, Accounting, and other departments to resolve purchasing, receiving, invoicing, and inventory discrepancies
• Follow Northern Jet policies, safety procedures, and applicable FAA regulations related to aircraft parts and materials
• Perform additional duties as assigned to support Maintenance and flight operations

Required Skills/Abilities:

• High school diploma or GED required
• Previous experience in inventory, parts, purchasing, warehouse operations, logistics, maintenance support, or a related field
• Strong computer skills with the ability to learn inventory, maintenance, and purchasing software
• Excellent organizational skills and attention to detail
• Ability to accurately maintain records and documentation
• Strong written and verbal communication skills
• Ability to work independently and manage multiple priorities in a fast-paced environment
• Ability to work the assigned Friday, Saturday, and Sunday 12-hour shift schedule

Preferred Qualifications

• Experience working in a Part 135 and/or Part 145 aviation environment
• Familiarity with aircraft parts documentation, traceability, and FAA requirements
• Experience reviewing FAA Form 8130-3, Certificates of Conformance, and aircraft parts documentation
• Experience with aviation inventory or maintenance tracking systems
• Previous purchasing, procurement, shipping/receiving, or vendor-management experienceFamiliarity with turbine aircraft parts, components, consumables, and tooling
• Experience supporting AOG or other time-sensitive aviation maintenance operations
