Job summary

UGI Heating, Cooling & Plumbing is seeking a Parts Administrator to issue POs, order HVAC parts, and manage inventories for service customers. You will track ETA parts, assist with warranty items, and quote repairs for non-policy customers.

Responsibilities include scheduling follow-ups, handling backordered parts, maintaining accurate records, and ensuring a clean, safe work area. High school diploma and MS Office proficiency required, HVAC experience a plus.

Qualifications

  • High School Diploma required.
  • Proficiency with MS Windows, MS Office Suite and Outlook.
  • Typing at least 30 words per minute preferred.
  • Strong organizational skills with detail orientation and ability to work under pressure.
  • Inventory management experience a plus; HVAC industry experience a plus.

  • Ordering HVAC parts for customer’s equipment.
  • Conduct semi-yearly physical inventories and quarterly spot checks.
  • Following up with customers on estimated time arrival for parts.
  • Researching warranty parts.
  • Quoting repair with non-policy customers.
  • Scheduling follow up call/repairs with the customer.
  • Returning customer’s calls to discuss timeline on their part/repairs.
  • Researching backordered parts/materials.
  • Reviewing parts reports.
  • Accurate record keeping.
  • Ensuring area is kept clean, organized, and safe.
  • Other miscellaneous office duties or project as assigned.

Position Overview

Duties for the Parts Administrator will include issuing Pos, ordering HVAC parts for customer’s equipment, following up with customers on estimated time arrival for parts, researching warranty parts and following up on credits, quoting repairs with non-policy customers, scheduling follow up calls/repairs with the customer, and other duties as assigned.

Job Requirements
  • High School Diploma required.
  • Competency in MS Windows, MS Suite, and MS Outlook.
  • Ability to type a minimum of 30 wpm is preferred.
  • Well organized, detail oriented with ability to work under pressure and meet deadlines while managing multiple concurrent tasks.
  • Ability to work independently.
  • Strong analytical, verbal, and written communication and interpersonal skills.
  • Past inventory management experience a plus.
  • Experience in HVAC business a plus.
  • Ability to work overtime during month-end and peak heating and cooling seasons is a must.
