Job summary

Indy Fuel Hockey Club is seeking a Partnership and Suite Coordinator to support the management and execution of corporate partnerships for the Indy Fuel and Fishers Freight. This role will help maintain strong partner relationships, coordinate the onboarding process, and execute partner activations to ensure successful delivery of all contractual sponsorship elements.

Responsibilities

• Maintain day-to-day communication and strong professional relationships with corporate partners and assigned suite holders.
• Assist onboarding for new corporate partners and ensure all information and deliverables are communicated.
• Gather, plan, coordinate, and execute contractual elements and partner activations.
• Develop and maintain activation timelines and track deliverables and results.
• Coordinate assets and game-night activations with cross-functional teams.
• Maintain records of partnership assets, deliverables, contacts and activation details.
• Prepare end-of-season recap decks for corporate partners.
• Assist renewal efforts by gathering feedback and identifying opportunities for continued engagement.
• Coordinate suite holder tickets, suites, events and hospitality needs.
• Attend games to support partner activations and needs.

Job Summary

The Partnership and Suite Coordinator will be an essential member of the Corporate Partnerships team, supporting the management and execution of corporate partnerships for the Indy Fuel and Fishers Freight. This role will help maintain strong partner relationships, coordinate the onboarding process, and execute partner activations to ensure successful delivery of all contractual sponsorship elements. The Coordinator will work closely with corporate partners and cross-functional internal teams to manage deliverables, coordinate game-night activations, track partnership assets, and provide timely communication and support throughout the season. The role will also assist with suite holder relationships, ticketing, and hospitality needs.

Essential Duties And Job Functions

• Maintain day-to-day communication and strong professional relationships with corporate partners and assigned suite holders
• Support the onboarding process for new corporate partners and ensure all necessary information and deliverables are properly communicated
• Gather, plan, coordinate, and execute contractual elements and partner activations
• Develop and maintain activation timelines while tracking partner deliverables, fulfillment, and results throughout the season
• Collaborate with Game Operations and cross-functional internal departments, including Digital/Social, Ticketing, Creative, and Accounting, to coordinate partner assets and game-night activations
• Maintain accurate records of partnership assets, deliverables, contacts, and activation details within SponsorCX
• Prepare end-of-season proof of performance and recap decks for corporate partners
• Assist with partner renewal efforts by gathering feedback, addressing questions, and identifying opportunities for continued engagement
• Ensure proper invoice generation, tracking, and payment in coordination with Accounting
• Coordinate suite holder requests, partner and suite holder tickets, suites, special events, and hospitality needs
• Attend Indy Fuel and Fishers Freight games to support partner activations and partner/suite holder needs
• Other duties as assigned

Qualifications

• Bachelor's degree or equivalent combination of education and work experience
• Minimum of 2 years of marketing, partnership, sponsorship, sports, media, entertainment, or related experience
• Strong relationship-building and customer service skills
• Highly organized with the ability to manage multiple projects, deadlines, and partner deliverables simultaneously
• Excellent written and verbal communication skills
• Ability to problem solve and approach situations in a solution-oriented manner
• Strong attention to detail and follow-through
• Proficient in Microsoft Office, including Word, Excel, and PowerPoint
• Experience with Sponsor CX or a similar CRM preferred
• Experience using Canva preferred
• Ability to work evenings, weekends, holidays, games, and events as required by business needs
