Job summary

Qualifications

  • High school diploma plus coursework in administrative support technology or related field.
  • 1–2 years of clerical/administrative experience.

Responsibilities

  • Performs administrative and clerical duties for the Museum of History, including preparing correspondences and distributing minutes.
  • Manages volunteer docent schedule and substitutes for docents on weekends and holidays.
  • Maintains databases, records, and documentation of the County’s collection using PastPerfect Software.
  • Handles inquiries via telephone, email, and in person; reviews the Museum webpage for accuracy.
  • Assists with procurement of operating supplies, inventory reviews, and donations according to policy.
  • Supports special projects, group tours, and research for grant opportunities; reports to supervisor.

Job description

The Gloucester County Department of Parks, Recreation & Tourism is currently seeking a part-time Museum Specialist to join our team. The successful candidate will demonstrate strong proficiency in computer skills, effective communication, excellent organizational abilities, interpersonal skills, and presentation capabilities.

(This position is 24 hrs. per week.)

Under supervision, the Museum Specialist performs administrative and clerical work for the Historic Resources Division of Parks, Recreation, and Tourism. Employee must exercise independent judgment, discretion, and initiative in completing all job responsibilities. Employee must be able to establish and maintain cooperative, courteous, and positive communications with fellow employees, other personnel, and the general public.

This position reports to the Historic Resources Supervisor.

  • Performs administrative and clerical duties for the Museum of History and the Gloucester Historical Committee including preparing correspondences, recording, and distributing minutes, preparing flyers and publications, etc.; assumes responsibility for correctness of spelling, punctuation, format, and grammar. Creates and manages volunteer docent schedule. Substitutes for docents when needed including on weekends and holidays.
  • Maintains databases, records and documentation of the County’s collection including use of PastPerfect Software.
  • Responds to various inquiries and requests for historical, genealogical, and county information via telephone, email, and in-person. Reviews Museum of History webpage routinely for accuracy.
  • Assists with procurement of operating supplies such as archival storage needs, office supplies, etc., including obtaining bids and price quotes. Assists with inventory review. Assists with receiving donations in accordance with the County’s Donation Policy.
  • Assists with the maintenance of various files, databases, and records including collections management utilizing specialized software in keeping with standards accepted by the American Association of Museums.
  • Assists with organizing special projects and programs; assists with group tours and other events as needed. Assists with research for grant opportunities related to the Historic Resources Division.
  • All other duties as assigned by supervisor.
  • Possession of a high school diploma, supplemented by course work in administrative support technology, computer science, business administration, or related field.
  • One (1) to two (2) years of clerical/administrative experience.
  • Any equivalent combination of training and experience which provides the required skills, knowledge, and abilities.
