Part‑time Library and Administrative Assistant at Dunellen Public Library
The Dunellen Public Library is seeking a capable and organized individual to provide support for the library’s daily operations in both administration and patron services. This position reports to the Library Director and is responsible for performing a variety of bookkeeping, record-keeping, organizational, collection development, and other library tasks to assist the Library Director in their duties and enhance the smooth operation of the Library.
Administrative Duties
- Maintain data and reports related to income and expenses
- Process invoices, record accurate figures and statements for payment, and prepare checks
- Organize and file various documents and paperwork
- Make regular bank deposits of monies collected at the Library
- Provide budget tracking reports including red flags to the Library Director
- Prepare files and reports for annual audit and work with outside accounting firm to ensure completion of the audit
- Coordinate with staff to select and order supplies
- Help Director prepare monthly reports for Board of Trustees meetings
- Assist in the reporting of the annual NJ Per Capita State Aid Application and any grants
- Other duties as assigned
Library Duties
- Performs all aspects of opening and closing library and circulation desk
- Greets, assists, and refers patrons according to their needs
- Checks in and out all library materials and collects appropriate fines for lost or damaged materials
- Perform patron registrations and updates as well as other patron records tasks
- Maintains a working knowledge of Dunellen Public Library policies and procedures and best practices
- Shelves, shelf‑reads and straightens circulating materials and keeps the library tidy
- Assists patrons in using computers, printers, copiers, and other technology
- Other duties as assigned
Requirements
- Knowledge of responsible bookkeeping and accounting principles with 1-2 years of practical experience
- Proficient in the use of QuickBooks and Google Suite
- Strong attention to detail
- Ability to work independently, meet deadlines, and communicate effectively
- Bachelor’s Degree or the equivalent in education and experience
- Experience working in a library setting is a plus
Employment Details
- 15 hours a week (1 night mandatory; otherwise flexible), with the potential for more on a substitute basis
- $19.85/hour
