Qualifications

• Previous experience in administrative support or professional office environment preferred.
• Experience in financial services, insurance, banking, or healthcare admin is a plus.
• License in Health and Life Insurance preferred, or willingness to obtain within 3 months.
• Strong verbal and written communication skills.
• Proficiency in Microsoft Office suite required.

Responsibilities

• Manage client files, correspondence, and case notes.
• Maintain client records and ensure information is accurate and up to date.
• Schedule appointments, manage calendars, and coordinate follow-up meetings.
• Answer and direct phone calls and respond to client inquiries promptly.
• Prepare meeting materials, proposals, and reports for client appointments.
• Process forms, service requests, and documentation requiring client signatures.
• Communicate with clients regarding outstanding requirements and follow-up items.
• Coordinate marketing events, seminars, mailings, and client outreach activities.
• Maintain office supplies, marketing materials, and administrative records.
• Review applications, policy changes, and service forms for completeness and accuracy.
• Coordinate underwriting requirements, including medical and paramedical exams.
• Monitor case status and assist with resolving outstanding requirements.
• Process client service requests, including address changes, banking updates, and policy inquiries.
• Assist with investment and annuity paperwork as directed.
• Gather and organize information for client meetings and financial planning discussions.
• Work with Northwestern Mutual, NMIS, and other partners to resolve client service issues.
• Provide account and policy information to clients as directed by the advisor.
