Event Supervisor (Part-Time)

Under the direction of the Senior Event Manager, the part-time Event Supervisor is responsible for overseeing events at the Coliseum and Expo Center, mainly the Expo Conference Center and meeting rooms. The role follows an event‑based schedule that includes nights, weekends, and holidays, making it suitable for second jobs, retirees, and students.

Essential Functions
  • Oversee activities with promoters, exhibitors, vendors, and internal departments for all tradeshows and consumer events.
  • Manage on‑site client interactions during private events.
  • Assist Event Managers in developing detailed room diagrams and event information sheets, ensuring compliance with building fire codes.
  • Help with event billing, including space/equipment rental charges and other building services.
  • Work an irregular schedule as required and act as Manager on Duty for assigned events.
  • Conduct tours of spaces and consult with prospective rental clients to maximize venue utilization and revenue.
  • Assist the Operations department with room and tradeshow setups as needed.
  • Coordinate with departmental staff to support successful event execution.
  • Use computer technology for customer relationships and event management.
  • Prepare rented and auxiliary spaces before client arrival for set‑up or move‑in.
  • Install or remove event signage and crowd‑control barriers as necessary.
  • Support the Vice President of Operations, Assistant Operations Manager, and Facilities Manager in supervising custodial, maintenance, and contract staff for event production.
  • Ensure promoters and clients comply with applicable laws, regulations, and venue procedures.
  • Participate in operational meetings with Coliseum and Expo Center staff.
  • Collect data for annual rate sheet updates.
  • Submit post‑event reports after all events conclude.
  • Create and schedule digital signage for guest wayfinding.
  • Assist Event Managers with event advances as needed.
  • Perform any other duties assigned by senior management.
Requirements
  • Associate’s Degree, certification, or equivalent experience.
  • At least one year of relevant experience in event planning, logistics, or venue operations.
  • Experience with Momentus event management software, DataCad drafting software, and Daktronics Venus Control Suite is preferred.
  • Outgoing, articulate personality with strong verbal and written communication skills.
  • Proficient in Microsoft Office 365 (Word, Excel, SharePoint, etc.).
  • Advanced computer proficiency and quick learning of new systems.
  • Valid Indiana Driver’s License and ability to use a private vehicle for business purposes.
  • Capability to work mornings, nights, weekends, and holidays as directed.
  • Ability to handle stressful or emergency situations and guide staff and clients effectively.
  • Familiarity with operating forklifts, high lifts, and other equipment; forklift certification achievable within 90 days.
Working Conditions and Physical Demands

The role involves frequent standing, walking, and sitting in office and event environments. Employees may lift, carry, push, or pull items weighing up to 50 lbs., and perform repetitive motions. Exposure to extreme noise, lighting, heat, and cold during events is common. Physical endurance is required for long hours.
