Responsibilities

  • Maintain accurate documentation in the patient’s EHR following procedures.
  • Fulfill clerical responsibilities: obtain lab/X-ray reports, hospital notes, referrals; verify demographics; manage provider inbox.
  • Call patients with lab results after provider interpretation.
  • Schedule and document STAT referrals; notify patients of appointment details.
  • Maintain patient confidentiality and protect PHI.
  • Assist providers with patient communications about medications, symptoms, referrals, appointments, and paperwork.
  • Ensure culturally and linguistically appropriate services.
  • Represent the company professionally and uphold its mission.
  • Attend in-services, meetings and trainings; support professional development.
  • Participate in quality improvement activities.

Title: Clerical Clinical Assistant

Summary of Position

Under the supervision of the Associate Clinical Officer, the clerical clinical assistant helps to facilitate patient care in the clinic environment. They are an essential part of the care team from the onset of the visit until its completion. They are one of the primary guides for the patient through the entire patient visits cycle. Tasks assigned to this role are both clinical and clerical. The clerical clinical assistant is responsible for documenting clinical and demographic information and accurately documenting this material in the electronic health record (EHR). Clerical clinical assistant is responsible for effective communication with patients, providers, and staff in multiple settings.

Minimum Qualifications

Interacts in a professional and patient-centered manner with patients. Able to work cooperatively with internal staff to deliver safe, effective, quality care to all patients. Able to plan, prioritze and complete assigned tasks with a high level of accuracy. Ability to work well under time constraints while maintaining accurate records.

  • Experience: 1 year of related work preferred; health care experience preferred.
  • Additional skills required: Knowledge of medical office protocols/procedures. Knowledge of medical terminology. Familiarity with basic computer operations.

Education: High school diploma or GED

Certification(s)/Licensure: Community Health Worker background, CNA, CMA and CPR or BLS preferred.

Physical Requirements:

  • Continuous walking, standing and moving about.
  • Frequently bends, kneels and crouches.
  • Frequently lifts, pushes or otherwise moves and positions patients or other objects, exerting up to 50 lbs.
  • Repetitive movement of hands and fingers – typing and/or writing.
  • Ability to communicate effectively.
  • Possible exposure to hazardous fumes, airborne particles, toxic/caustic chemicals, bodily fluids, etc.
Key Responsibilities
  1. Maintain accurate documentation in the patient’s EHR based on established documentation procedures.
  2. Fulfill clerical responsibilities as assigned including but not limited to the following: obtaining lab/X-ray reports, hospital notes, and referral information. Complete forms/requisitions as needed; verify patient demographics. Also, must monitor and assist in management of provider’s clinical inbox, which includes medication refills, patient cases, notification of critical labs, categorizing and labelling clinical documents appropriately, scanning/uploading clinical documents to Athena EHR, and assisting in prior authorizations for medications and urgent/STAT imaging.
  3. Ability to call patients with both abnormal and normal laboratory results after provider interprets the lab results.
  4. Ability to process, schedule, and document STAT referrals for medical providers and notify patients of time, date, and location of the referral appointment within a timely manner.
  5. Maintain patient confidentiality and protect operations by keeping protected health information confidential and secure.
  6. Assist Medical Providers with communicating with patients regarding medications, symptoms, referrals, appointments, and paperwork.
  7. Ensure culturally and linguistically appropriate services.
  8. Represent the company professionally and positively to enhance and promote the core values and mission of the organization.
  9. Participate in mandatory in-services and drills, attends staff meetings and other trainings, including appropriate age specific educational trainings offered on regular basis for professional development.
  10. Participate in quality improvement activities by initiating or contributing to monitoring, measuring, analyzing, improving and/or controlling program goals, objectives and/or services.
