Qualifications

• Experience in probate, estate planning, or real estate transactions.
• Ability to communicate with property owners, families, heirs, and internal legal teams.
• Research ownership history and supporting legal documentation.
• Prepare and coordinate legal forms, affidavits, certifications, transfer agreements, and related records.
• 3–5 years paralegal or related legal experience preferred, with probate, estate planning, or real estate property transaction experience valued.
• ABA-approved Paralegal Certification required.
• High school diploma or GED required; degree preferred.
• Valid California driver’s license with active auto insurance.
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Strong written and verbal communication skills.
• Excellent customer service; discreet handling of sensitive matters.
• Highly detail-oriented with strong organizational skills.
• Ability to work independently and collaboratively in a team.

Responsibilities

• Explain the transfer-of-ownership process to involved parties by phone, email, and in-person meetings.
• Identify current property owners, confirm ownership records, and gather legal information needed to initiate ownership transfers.
• Prepare, review, and process legal documents such as affidavits, transfer agreements, certifications, name changes, and related forms.
• Obtain and verify notarized signatures, trust documents, powers of attorney, court orders, and other legal records for attorney review.
• Maintain accurate data entry in internal records systems while managing customer service, clerical tasks, and strict deadlines.
