POSITION SUMMARY:

The Transportation Manager is responsible for leading all aspects of the PACE KC transportation department, ensuring the safe, efficient, and person-centered transport of participants to and from the PACE Center, medical appointments, and other destinations. This role involves direct supervision of drivers, oversight of routing and scheduling, fleet maintenance coordination, and close collaboration with the interdisciplinary team (IDT). The Transportation Manager is expected to demonstrate a thorough understanding of elder care, regulatory compliance, and transportation operations, and must have at least one year of experience working with older adults.

Primary Functions

  • Hire, train, schedule, and supervise transportation staff, including drivers and transportation support personnel.
  • Assist and oversee daily transportation scheduling and dispatch in collaboration with the Transportation Coordinator.
  • Review and verify transportation schedules for accuracy and efficiency.
  • Conduct quarterly driver and safety meetings to provide training, address operational issues, and reinforce safety standards.
  • Participate in all required PACE meetings, including IDT, family meetings, quality improvement, and in-service training sessions.
  • Maintain strong working relationships with participants, caregivers, and staff across all departments; provide service recovery and resolution of transportation-related grievances.
  • Monitor and evaluate driver performance, including annual performance reviews and coaching/disciplinary documentation.
  • Maintain all required records in an organized manner, including transportation logs, fuel usage, vehicle mileage, maintenance history, and participant routing notes.
  • Ensure that all drivers comply with Secure Transportation and PACE KC policies and procedures.
  • Serve as the primary liaison for resolving daily operational concerns between transportation and center departments.
  • Manage the transportation fleet, including ADA-accessible vans, buses, and ambulatory vehicles, ensuring all are safe, clean, and compliant with regulatory standards.
  • Submit, manage, and update transportation data and reports, including daily logs and monthly summaries.
  • Utilize transportation management software (e.g., FileMaker) to track participant information, routing details, and service history.
  • Ensure all participant demographic changes are promptly updated (e.g., address, phone numbers, care notes).
  • Provide coverage for transportation operations, including driving as needed during staff shortages or emergencies.
  • Be available for after-hours support and occasional overnight travel for training or operations, as needed.

Education, Certification, And Experience

  • High school diploma or GED required.
  • Associate or bachelor’s degree in transportation, logistics, healthcare, or related field preferred.

Experience & Qualifications

  • Minimum of one (1) year of experience working with older adults required.
  • Experience in senior care, human services, or healthcare environments is strongly valued.
  • Vehicle scheduling, dispatching, or routing experience is a plus.
  • Strong knowledge of ADA transportation standards and safety practices.
  • At least three (3) years of transportation or logistics experience, with two (2) years in a supervisory or management role preferred.
  • Valid commercial driver’s license (CDL) with passenger endorsement required.
  • Proven ability to lead, coach, and manage a team with professionalism and accountability.
  • Experience in vehicle scheduling, routing, and dispatch preferred.
  • Familiarity with the Kansas City metro area, including surrounding neighborhoods and traffic patterns.
  • Strong organizational and time management skills; ability to handle multiple responsibilities simultaneously.
  • Proficiency in Microsoft Office (Word, Excel) and transportation or database software.
  • Must pass all pre-employment screenings including background check, physical exam, drug and alcohol testing, and provide documentation of required immunizations (Varicella, MMR, COVID-19, etc.).
  • Ability to lift up to 50 lbs and push or pull up to 150 lbs.
  • Flexibility to work weekends, holidays, and varying shifts as needed; occasional overnight travel may be required.
