Job summary

Koozie Group in Minnesota is seeking an Order Clarification Associate to support the CSR team in a fast-paced environment. You will clarify and validate purchase orders, manage proofs, and coordinate with manufacturing to ensure accurate imprint and timing.

Responsibilities include handling emails and calls, processing orders, and assisting with various CS tasks while upholding high service standards and attention to detail.

Qualifications

• High School diploma or equivalent required.
• Previous customer service and data entry experience preferred.
• Strong verbal and written communication skills.
• Proficiency with computer software and order management systems.

Responsibilities

• Clarify and validate customer purchase orders and process to manufacturing (change imprint colors, set ship dates).
• Process art proofs approvals/non approvals in clarification queues.
• Receive and process customer emails in clarification inbox.
• Inbound and outbound phone calls in queues.
• Prepare reports, rush requests, hand walks and support other CS roles as needed.

Order Clarification Associate

The Order Clarification Associate is responsible for clarifying and maintaining non production ready orders. This position will process and respond to distributor questions or proof on orders. He/she will also contact distributors via phone, fax and/or email to resolve any issues or questions regarding non production ready orders.

Major Duties/Responsibilities:

• Clarifying and validating customer’s purchase orders and processing order to manufacturing in a timely manner (change imprint colors, set ship dates)
• Processing art proof approvals/non approvals in clarification queues
• Receive and process customer emails in clarification email inbox
• Inbound and outbound phone calls in queues
• Reports, rush request, hand walks and other misc duties. Flexing into other customer service related roles

Qualifications:

• High School diploma or equivalent required
• Previous customer service and data entry experience is preferred

Special Training or Competencies:

• Proficiency using a computer and associated software
• Strong verbal and written communication skills
• Experience using order management systems such as Oracle, MacPac and AS400
• Proficiency in Microsoft Office Suite, specifically Outlook, Word & Excel
• Possesses good problem solving skills, and is detail oriented
• Proven ability to work well under pressure to meet order deadlines
• Excellent attention to detail
• Ability to multitask & focus on multiple issues at once
• Excellent customer service skills and ability to deescalate situations
