Job summary

GatesAir in Quincy, IL is seeking a detail-oriented Sales Operations Coordinator to manage the sales order system, track shipments, and resolve order inquiries. You will act as the main contact for order status and collaborate with logistics to support timely deliveries.

The role requires a Bachelor's degree or equivalent experience, strong organization and communication skills, and proficiency with sales order software. Starting pay is $22.00/hour with full benefits.

Responsibilities

• Monitor and manage the sales order system to ensure the accurate receipt and booking of sales orders in accordance with division guidelines.
• Track sales shipments, deliveries, billing, and backlog activities while maintaining up-to-date records in the system.
• Act as the primary point of contact for inquiries regarding the status of orders, proactively assisting in resolving customer order conflicts or difficulties.
• Send manual invoices for payments due prior to booking or shipment to facilitate a seamless transaction process.
• Efficiently enter and process return material authorizations (RMA) following established guidelines and processes.
• Collaborate with the service team to provide urgently needed installation materials, ensuring smooth completion of installations.
• For major accounts, deliver regular summarized status reports to customers, which may involve dedicated conference calls.
• Handle international shipments in collaboration with the logistics team to ensure the timely provision of necessary documents for accurate commercial invoices and packing lists.
• Provide accurate and precise order status updates to senior management, enabling informed decision-making.
• Identify and report shortages to the planning and purchasing departments on a case-by-case basis.
