Job summary

AEG Vision in Fredericksburg, VA is seeking a dedicated ophthalmic support professional to perform pre-exam evaluations, patient interviews, and scheduling of referrals. You will maintain HIPAA-compliant records, assist Optometrists with procedures, and handle clerical duties within an EHR environment.

The role requires strong attention to detail, excellent communication, and teamwork as you support both patients and clinicians in a fast-paced eye-care practice.

Qualifications

  • High School or GED qualification.
  • Attention to detail and ability to work under pressure in a fast-paced environment.
  • Proficiency with MS Office, Windows, and word processing.
  • Able to collaborate effectively in a team and communicate verbally and in writing.

Responsibilities

  • Perform preliminary evaluations of patients prior to exam by the Optometrist (dilations, topicals, diagnostic meds, Optomap, auto refractor, visual acuity).
  • Conduct verbal interview with patient before visit to identify medical issues for the Optometrist.
  • Schedule referrals and complete paperwork for ophthalmology or diagnostic follow-up as needed.
  • Maintain patient records in compliance with HIPAA and company policies in EHR.
  • Respond to patient inquiries regarding medications, treatments, and referrals.
  • Perform diagnostic testing with equipment like OCT, Visual Field, Pachymetry, and Retinal Camera.
  • Document medical findings and communications in EHR; assist with clerical tasks and CPT/billing where needed.
  • Ensure schedule efficiency through pre-appointment confirmations and recall follow-ups.
  • Conduct contact lens training and manage trial inventory and orders.
  • Complete end-of-day tasks, keep the workspace organized and clean.
  • May act as a scribe or perform refractions as needed.
  • Take on other duties within the Practice as requested.

About The Role
  • Perform preliminary evaluations of patients prior to exam by the Optometrist, such as dilation, topicals, diagnostic medications, Optomap, auto reflector, visual acuity, etc.
  • Performs verbal interview with patient prior to visit with Optometrist to determine medical issues and reasons for their visit to provide details to Optometrist.
  • May be required to schedule referral appointments with Ophthalmologists, Diagnostic follow-up visits, and other specialty referrals, and complete paperwork.
  • Records and maintains patient records / files in compliance with company, federal, and state policies (HIPAA).
  • Responds to patient telephone inquiries regarding medication, treatment, problems referring to the Optometrist as necessary.
  • May be required to perform diagnostic testing using specialty equipment (OCT, Visual Field, Pachymetry, Retinal Camera. Etc.).
  • Documents medical findings and communication between Optometrist and patient in Electronic Health Records(EHR) and assist with clerical duties related to medical documentation (participating practices only). Checking CPT codes, billings for post op, office visit etc.
  • Ensures that maximum schedule utilization occurs through pre-appointment confirmation, daily appointment confirmation, contacting patients from recall listings, contacting no-shows or canceled patients to reschedule.
  • Performs contact lens insertion and removal classes (I&R) and manages the contact lens trial inventory, check-in and take contact lens orders in person or by phone.
  • Performs end-of-day responsibilities to include opti-schedule wrap-up, end-of-day checklist, etc.
  • Cleans and organizes frame boards, displays, mirrors, work bench, office area, maintaining overall cleanliness and visual appeal of the practice.
  • May be asked to act as a scribe for the Optometrist or perform refractions.
  • Performs other duties within the Practice as requested.
Requirements
  • High School or GED qualification.
  • Strong attention to the details and ability to work under pressure in fast paced environment.
  • PC skills to include MC Office, Windows, and Word Processing.
  • Demonstrated ability to work collaboratively in a team environment.
  • Excellent verbal and written communication skills to effectively and professionally collaborate with co-workers and patients.
