Job summary

AEG Vision in East Harwich, MA is seeking an Optical Consultant to support physicians and staff in delivering exceptional patient care. You’ll perform preliminary evaluations, assist with exams, and help educate patients on eyewear options, insurance, and appointments.

You will schedule referrals, maintain accurate EHR records (HIPAA compliant), and handle routine clerical duties while ensuring smooth daily operations in a fast-paced practice.

Qualifications

• High School or GED qualification.
• Strong attention to detail; able to work under pressure in a fast-paced environment.
• PC skills including MC Office, Windows, and word processing.
• Demonstrated ability to work collaboratively in a team.
• Excellent verbal and written communication with co-workers and patients.

Responsibilities

• Assist Optometrists by performing preliminary patient evaluations before exams.
• Schedule referrals with Ophthalmologists and track paperwork.
• Maintain patient records in EHR in HIPAA-compliant fashion.
• Respond to patient inquiries regarding medications and treatments.
• Perform diagnostic testing with OCT, Visual Field, Pachymetry, Retinal Camera, etc.
• Maintain clean, organized frame boards and displays.
• May act as a scribe for the Optometrist or assist with refractions.
• Handle other duties as requested by the Practice.

About The Role

At AEG, we believe great patient experiences begin with great teams. As an Optical Consultant, you'll work alongside the Optometrists to support all aspects of patient care and education, ensuring that patients receive exceptional care.

• Perform preliminary evaluations of patients prior to exam by the Optometrist, such as dilation, topicals, diagnostic medications, Optomap, auto reflector, visual acuity, etc.
• Performs verbal interview with patient prior to visit with Optometrist to determine medical issues and reasons for their visit to provide details to Optometrist.
• May be required to schedule referral appointments with Ophthalmologists, Diagnostic follow-up visits, and other specialty referrals, and complete paperwork.
• Records and maintains patient records / files in compliance with company, federal, and state policies (HIPAA).
• Responds to patient telephone inquiries regarding medication, treatment, problems referring to the Optometrist as necessary.
• May be required to perform diagnostic testing using specialty equipment (OCT, Visual Field, Pachymetry, Retinal Camera. Etc.).
• Documents medical findings and communication between Optometrist and patient in Electronic Health Records(EHR) and assist with clerical duties related to medical documentation (participating practices only). Checking CPT codes, billings for post op, office visit etc.
• Ensures that maximum schedule utilization occurs through pre-appointment confirmation, daily appointment confirmation, contacting patients from recall listings, contacting no-shows or canceled patients to reschedule.
• Performs contact lens insertion and removal classes (I&R) and manages the contact lens trial inventory, check-in and take contact lens orders in person or by phone.
• Performs end-of-day responsibilities to include opti-schedule wrap-up, end-of-day checklist, etc.
• Cleans and organizes frame boards, displays, mirrors, work bench, office area, maintaining overall cleanliness and visual appeal of the practice.
• May be asked to act as a scribe for the Optometrist or perform refractions.
• Performs other duties within the Practice as requested.
