Job summary

Meadows Urquhart Acree & Cook, LLP is seeking an organized Operations Specialist to support our tax and client service operations in a professional office environment in Richmond, VA. This full-time, in-person role handles tax return processing, e-filings, client communications, and front-office duties with a focus on accuracy and efficiency.

Ideal candidates will have 3+ years of administrative experience, strong Word/Excel/Adobe Acrobat skills, and a commitment to confidentiality.

Qualifications

  • High school diploma or equivalent required; 3+ years admin experience preferred.
  • Strong Word/Excel/Adobe Acrobat skills and proofreading ability.
  • Experience with tax return processing and e-filing is a plus.
  • Experience in a financial or professional services firm preferred.
  • Commitment to client confidentiality and professional discretion.
  • Ability to manage multiple deadlines and priorities.

Responsibilities

  • Prepare tax returns for client delivery following firm standards.
  • Submit e-filings and track until accepted.
  • Meet deadlines during busy season.
  • Talk with clients by phone, email, and in person.
  • Follow up on missing items and track to completion.
  • Assist with billing and accounts receivable.
  • Greet and direct visitors and answer phone calls.

The firm is looking for an organized, client-focused Operations Specialist to support our team and clients. This role keeps our operations running smoothly, from processing and e-filing tax returns to welcoming clients and visitors at the front office.

Job Responsibilities:
  • Prepare tax returns for client delivery, following firm standards.
  • Submit e-filings and track each one until it is accepted.
  • Meet deadlines during busy season.
  • Talk with clients by phone, email, and in person.
  • Follow up on missing items and track them until complete.
  • Respond to client needs quickly and professionally.
  • Finalize client letters using firm formatting.
  • Proofread documents for accuracy before they go out.
  • Help with billing and accounts receivable.
  • Answer and direct phone calls.
  • Greet and direct visitors.
  • Schedule meetings.
  • Order supplies and team meals.
  • Help keep the office clean and organized.
Skills:
  • Advanced skills in Word, Excel, and Adobe Acrobat.
  • Careful proofreading and attention to detail.
  • Ability to manage multiple deadlines and shifting priorities.
  • A client-first approach and clear communication.
  • Ability to follow procedures and work both independently and on a team.
  • Commitment to client confidentiality.
Requirements:
  • High school diploma or equivalent.
  • At least 3 years of administrative experience.
  • Advanced skills in Word, Excel, and Adobe Acrobat.
Preferred:
  • Associate's or bachelor's degree.
  • Experience in a financial or professional services firm.
  • Experience with tax return processing and e-filing.
  • Experience with Thomson Reuters or other tax software (such as Practice CS, UltraTax CS).
Schedule and Availability
  • Full time, in person, Monday through Friday, 8:00 a.m. to 5:00 p.m.
  • Overtime as needed, especially around tax deadlines.
  • Half-day Saturdays during busy seasons (March and April, September and October).

Working Conditions/Physical Demands:

Operates in a professional office environment with moderate noise levels, e.g. computers, printer, light traffic.Use of standard office equipment (computers, phones, copiers). Long periods of sitting/standing at desk for computer work. Exerting up to 10 lbs of force occasionally to lift, carry, push, pull or move objects.
