Job summary

Trinity Packaging Supply is seeking an Operations Specialist - Order Management to oversee and optimize the end-to-end order fulfillment process on-site in Newport Beach, CA. You will coordinate with sales, logistics, and customer service to ensure orders are processed accurately and delivered on time.

The role requires strong organizational skills, attention to detail, and a demonstrated ability to thrive in a fast-paced company that values innovation and teamwork.

Qualifications

  • Proven experience in order management, logistics, or operations in a fast-paced environment.
  • Strong understanding of order fulfillment processes, inventory management principles, and supply chain operations.
  • Working knowledge of ERP systems (NetSuite experience preferred).
  • Proficiency in Google Suite, Microsoft Office applications, and spreadsheet Excel.
  • Flexibility to adapt to changing priorities and business needs.

Responsibilities

  • Receive, review, and process incoming orders accurately and promptly using designated systems and tools.
  • Monitor vendor inventory levels and collaborate with the Supply Chain team to ensure optimal stock availability for order fulfillment.
  • Track orders from receipt to delivery, proactively identifying and resolving any issues or delays.
  • Coordinate with shipping carriers and logistics partners to schedule pickups, generate shipping labels, and ensure timely delivery of orders.
  • Work closely with suppliers to ensure timely processing and fulfillment of drop ship orders, including following up on order status to ensure on-time delivery.
  • Collaborate with the Customer Success team to address order-related inquiries and resolve any issues or discrepancies.
  • Maintain accurate records of order processing activities, inventory levels, and performance metrics, generating regular reports and analysis to inform decision‑making.
  • Track and report on key performance indicators such as order accuracy, fulfillment lead times, and inventory levels.
  • Continuously identify opportunities for process optimization and efficiency gains within the order fulfillment workflow, implementing improvements as needed.
  • Ensure compliance with relevant regulations and internal policies governing order processing, inventory management, and shipping operations.
  • Maintain accurate records of Sales Order, Purchase Order, Item Fulfillment, and inventory transactions.
  • Assist with other operational tasks and projects as needed.

Summary

The Operations Specialist - Order Management is responsible for managing and executing the order fulfillment process efficiently and accurately. This role involves cross-functionally coordinating with sales, logistics, and customer service teams to ensure orders are processed, packed, and delivered on time and comply with company policies and procedures. QUALIFICATIONS & REQUIREMENTS
