Position Summary
The Operations Specialist is an entry-level, developmental role that supports the daily execution of client and retail operations. This position is designed for an organized, detail‑oriented individual who wants to build foundational experience in supply chain coordination, item and vendor maintenance, purchase order tracking, replenishment support, deduction management, reporting, and process documentation. Working alongside operations, sales, and ecommerce - the Operations Specialist helps ensure information is accurate, deadlines are met, exceptions are resolved, and stakeholders receive timely updates. The first 90 days provide structured onboarding in company systems, processes, customers, retailer requirements, and operating standards.

Successful onboarding prepares the Operations Specialist to independently manage recurring operational responsibilities, identify exceptions, escalate risks, and contribute to continuous process improvement.This role is designed as a launching pad into future opportunities in client operations, replenishment, supply chain, order management, inventory management, deductions, data analytics, and operational leadership.
Key Responsibilities
- Maintain item, SKU, vendor, and customer dataacross retailer, distributor, client, and internal systems, including new item setup, new vendor setup, changes, validations, and supporting documentation.
- Support purchase order and order managementby monitoring open orders, tracking confirmations and shipments, identifying cuts or delays, and communicating exceptions through resolution.
- Assist with replenishment and inventory reportingby reviewing forecasts, on‑hand inventory, weeks of supply, in‑stock performance, service levels, and potential out‑of‑stock or overstock risks.
- Research and manage deductionsby validating claims, gathering documentation, submitting disputes when appropriate, maintaining status trackers, and providing recurring updates.
- Build, distribute, and maintain operational reports, dashboards, trackers, and performance summaries, both automated and manual, to support timely decisions and stakeholder visibility.
- Monitor operational compliance and data accuracyby completing routine audits, reconciling discrepancies, and following established controls and retailer requirements.
- Coordinate issue resolutionwith internal teams, clients, retailers, suppliers, warehouses, carriers, and distributors while maintaining clear documentation and follow‑through.
- Maintain standard operating procedures, process maps, checklists, and shared filesso recurring work is complete, consistent, and accessible.
- Support forecasting and fulfillment routinesby collecting inputs, updating trackers, documenting assumptions, and escalating material variances or supply risks.
- Execute recurring operational calendars and deadlines, including item maintenance, order reviews, inventory reporting, deduction follow‑up, and retailer or distributor requests.
- Identify process gaps and improvement opportunitiesand assist with projects that improve accuracy, efficiency, visibility, and client service.
- Provide concise operational updatesthat clearly communicate status, risks, root causes, ownership, and next steps.
- Update and maintain eCommerce product contentby managing descriptions, attributes, images, specifications, and pricing across sales channels; ensuring accuracy and compliance with retailer standards; and supporting new product launches and inventory updates.
- Monitor product content quality and performanceby tracking content scores and completeness metrics, identifying gaps or compliance issues, generating recurring performance reports, and coordinating with teams to resolve content deficiencies.
Qualifications
- Bachelor's degree in Business is preferred but not required - Marketing, operations, analytics, and/or related fields.
- Relevant experience in retail industry supporting suppliers is a plus.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft suite of products including- Outlook, Excel, PowerPoint, Teams, and Co‑pilot.
- Comfortable working with data and analytical reporting.
- Basic usage of AI tools (generative AI or analytics assistants) in practical, everyday work settings to support analysis, research, and productivity.
- Effective communication skills, presentation skills, and ablity to work in a collaborative environment.
- Demonstrates initiative, curiosity, and willingness to learn.
- Ability to workboth onsite in the TASC office and remotely with flexibility based on requirements and business needs.
- Limited travel to support business including: client meetings, retailer HQ/store visits, industry events, and periodic visits to other company sites up to 35% of the time.
