Job summary

North Berkeley Wealth Management seeks an Operations Specialist to own the operational experience for 120–150 client households. You will handle full custodial lifecycle with Charles Schwab, including account opening, maintenance, and cash management, while communicating directly with clients.

You will be the trusted operations presence on the team, working in a hybrid remote setup with regular meetings at our Berkeley, CA offices and from a home office.

Qualifications

  • 3+ years in RIA operations.
  • Familiarity with custodial platforms; Schwab Advisor Services a strong plus.
  • Strong written and verbal communication with direct client interaction.
  • CRM and portfolio management tools experience; Salesforce and Tamarac a strong plus.
  • Ability to work 8 am–5 pm PST, Monday–Friday.

Responsibilities

  • Serve as the primary operational resource for a group of clients (~120–150 households).
  • Manage full custodial operations workflow with Charles Schwab (account opening, maintenance, cash management, transfers).

About the Role

The Operations Specialist role has one overarching responsibility: own the operational experience for a group of clients. We view financial operations as a distinct career path, not a stepping-stone to becoming a Financial Advisor, but a specialty in its own right. You will manage the full lifecycle of account operations, including account opening, maintenance, cash management, and custodial coordination, and communicate directly with clients on these matters. Clients will know who you are.

While Financial Advisors lead the overall client relationship and planning, you own the operational experience with the client. You are a consistent, trusted presence on the clients’ team.

This role is hybrid remote. You will mostly work from a home office, however you will be expected to regularly attend team meetings and other functions at and around our offices in Berkeley, CA.

Responsibilities
  • Serve as the primary operational resource for a group of clients (~120–150 households), building familiarity and trust over time.
  • Manage the full custodial operations workflow with Charles Schwab: account opening and maintenance, cash management, transfer requests, client paperwork, and exception monitoring.
  • Communicate directly with clients on operational tasks, providing updates, requesting information, and confirming completion.
  • Collaborate closely with Financial Advisors, keeping them informed of operational activity and escalating when a request touches financial plans or goals.
  • Maintain accurate CRM documentation and records for each client.
  • Identify workflow gaps and partner with advisors and operations leadership to improve processes and communication.
Qualifications
Required
  • 3+ years of direct experience in RIA operations, brokerage operations, or a custodial environment
  • Demonstrated experience with custodial platforms; familiarity with Charles Schwab Advisor Services is a strong plus
  • Strong written and verbal communication skills, with comfort in direct client communication
  • Proficiency with CRM and portfolio management tools; experience with Salesforce and Tamarac is a strong plus
  • Ability to work standard business hours, Monday through Friday, 8 am–5 pm PST
  • Ability to pass a background check including identity, credit, and criminal history
  • A space in your home that can be dedicated to your work and provide a quiet and distraction-free environment during our business hours.

  • Base salary of $70,000-$90,000 depending on experience; exempt from overtime
  • Quarterly bonus program
