Job summary

BOSS Crane is seeking an Operations Sales Estimator for Heavy Haul transportation in Dayton, Texas. This full-time role requires on-site attendance and involves costing, permitting coordination, and direct customer interaction to generate quotes and bookings.

You will collaborate with dispatch and permitting teams, analyze load specs, and build accurate estimates while maintaining strong client relationships and ensuring regulatory compliance.

Qualifications

Responsibilities

• Review inquiries and load specs to determine equipment needs, permits, and routing for oversize shipments.
• Prepare detailed cost estimates and quotes accounting for rates, permits, escorts, surcharges, tolls, and accessorials.
• Coordinate with dispatch, permitting, and operations to confirm route surveys and capacity before quotes.
• Maintain relationships with customers, respond to RFQs, and follow up on bids to convert opportunities.
• Record quotes, win/loss outcomes, and interactions in the TM S/CRM system.
• Monitor market rates, fuel costs, and permit fee changes to keep pricing current.
• Negotiate with carriers and internal resources to support profitable margins.
• Coordinate with permitting dept on multi-state OS/OW permits and regulations.

Key Responsibilities

• Reviews inbound customer inquiries and load specifications (dimensions, weight, origin/destination) to determine equipment needs, permitting requirements, and route feasibility for oversize and overweight shipments.
• Prepares detailed, accurate cost estimates and customer quotes, factoring in trucking rates, permits, escorts/pilot cars, fuel surcharges, tolls, and other accessorial costs specific to heavy haul freight.
• Collaborates with dispatch, permitting, and operations teams to confirm route surveys, bridge and weight restrictions, and equipment availability before finalizing quotes.
• Builds and maintains relationships with new and existing customers, responding promptly to RFQs (requests for quote) and following up on outstanding bids to convert opportunities into booked freight.
• Maintains accurate records of quotes, win/loss outcomes, and customer interactions in the company’s TMS (transportation management system) or CRM.
• Monitors market rates, fuel costs, and permit fee changes across relevant states/provinces to keep pricing models current and competitive.
• Works with carriers, owner-operators, and internal fleet resources to confirm capacity and negotiate rates that support profitable margins.
• Coordinates with the permitting department on multi-state OS/OW permit routing, pilot car/escort requirements, and any state-specific curfews or restrictions that affect pricing and scheduling.
• Supports contract and bid proposal development for government, industrial, and commercial accounts, ensuring compliance with customer specifications and regulatory requirements.
• Communicates proactively with customers throughout the quoting and booking process, providing a high level of service consistent with company standards.

• Two or more years of experience in transportation, logistics, freight brokerage, or heavy haul/OS-OW operations, with direct exposure to estimating, pricing, or dispatch.
• Working knowledge of DOT regulations, state permitting requirements, and OS/OW routing considerations.
• Strong analytical and mathematical skills with the ability to build accurate cost estimates under time pressure.
• Excellent verbal and written communication skills, with a customer-service orientation.
• Proficiency with Microsoft Excel and experience using a TMS, CRM, or similar dispatch/quoting software.
• Ability to multitask and manage a high volume of quote requests in a fast-paced environment.

Preferred

• Experience specifically in heavy haul, specialized, or project cargo transportation.
• Familiarity with permit services/software (e.g., state DOT permitting portals or third-party permit providers).
• Prior experience in a combined sales and operations or estimating role.
• Associate's or Bachelor's degree in supply chain, logistics, business, or a related field, or equivalent industry experience.

Physical and Work Environment Requirements

• Primarily an office-based role with extended periods of sitting and computer use.
• Occasional travel to job sites, customer locations, or industry events may be required.
• Ability to work extended hours or be reachable outside standard business hours when urgent customer or load needs arise.
