Job description

Operations & Project Manager
  • Work Type: Full-time.

  • Schedule: US business hours.

  • Location: 100% Remote.

Role Overview

We are seeking a proactive Operations & Project Manager to oversee cross-departmental workflows and ensure critical tasks are completed efficiently without requiring ongoing executive follow-up. This role is crucial for building the foundational systems and Standard Operating Procedures (SOPs) needed to scale the company to additional locations. Success in your first 30 days means maintaining a comprehensive working list of all open projects with assigned owners and due dates, documenting the first core SOPs, taking over ongoing operational support tasks, and providing leadership with weekly status updates on projects, blockers, and operational improvements.

Key Responsibilities
Project & Operations Management
  • Oversee work across all departments to ensure no tasks are forgotten or fall through the cracks.

  • Break complex projects into actionable tasks, assign them to the appropriate personnel or departments, set timelines, and take full ownership of follow-ups until completion.

  • Track operational and warehouse issues, assign an owner, and confirm they are successfully resolved.

  • Proactively identify operational inefficiencies and present structured improvement proposals to leadership.

  • Manage task tracking within the company's project management tool (Connecteam) and coordinate with the technical team on systems projects, including CRM system transitions.

  • Assist with Samsara tasks to keep the team compliant with Hours of Service (HOS) regulations.

Systems & SOPs
  • Document Standard Operating Procedures (SOPs) in the company knowledge base.

  • Establish a regular review cadence to ensure SOPs remain current as internal processes change.

  • Systemize daily operations to prepare the business for scaling to additional locations.

Operational, HR & Finance Support
  • Provide ongoing payroll assistance and support inventory auditing during the busy season (April to May).

  • Continuously research, test, and recommend new software, productivity tools, and AI solutions.

Ongoing Support Tasks
  • Design basic social media posters and promotional materials (testimonials, marketing assets).

  • Engage with the community on Facebook, review AI-drafted responses to Google reviews, and review auto-generated crew birthday posts.

  • Correct flagged entries on the realtor contact list, follow up with external suppliers, and maintain team communication via Google Chat and Discord.

Potential Future Responsibilities
  • As the role evolves, assume responsibility for move confirmation calls, post-move surveys, employee intake calls, and customer complaint/claim intake.

Requirements & Qualifications
  • Experience: Proven project management experience, ideally within the moving, logistics, or field services industries. Demonstrated experience coordinating work across multiple departments or locations and writing/maintaining detailed SOPs.

  • Technical Proficiency: Familiarity with moving-industry tools (Move It Pro, SmartMoving), Samsara, and project management platforms (Connecteam). Comfortable using Google Workspace (Sheets, Chat), Discord, BambooHR, Canva, and Buffer.

  • Core Competencies: Excellent written English and strong, professional verbal communication skills for phone interactions with both customers and employees. Highly proactive and self-directed; able to spot problems and deliver solutions independently.

  • Remote Infrastructure: Must have a dedicated, noise-free home office setup equipped with a reliable, high-speed internet connection and a backup power source.

Preferred Qualifications (Bonus):
  • Experience with ClickUp or similar project management and knowledge base platforms.

  • Basic design and layout skills using Canva.

Contractor Perks
  • Work with international clients while maintaining your independent contractor status.

  • Minimum 5 paid days off annually, plus US holidays.

  • Free access to career growth learning modules through Hyre Academy.

  • Scheduled rate increases based on applicable contract terms and performance.
