About the Client
The company operates a multi-location tree service business and is preparing to expand into additional cities in the coming year. It has used offshore administrative support for several years to manage scheduling, client communication, and day-to-day office operations, and currently relies on a small team of remote staff to keep the business running.
About the Role
You will serve as the Operations Manager supporting a multi-location tree service operation, working to centralize performance data, document field processes, and strengthen day-to-day execution. You will build a unified KPI dashboard that pulls from the company's CRM and manual data sources, giving leadership clear visibility into how each location and crew is performing.
Beyond the core operations work, you will document on-site standard operating procedures to support faster crew scaling as the business expands into new markets, and you will manage tasks, coordinate with employees and clients, and help stand up new systems as additional locations come online. Depending on bandwidth, you may also take on a portion of executive support duties, including email correspondence and scheduling, for the business owner.
- KPI Dashboard Development: Build and maintain a unified dashboard pulling data from the CRM and manual tracking sources to give leadership real-time visibility into business performance.
- Operations Management: Oversee day-to-day tasks across the business, coordinating with staff to keep projects and priorities on track.
- Systems Setup: Establish and configure new operational systems and processes as the business expands into additional locations.
- SOP Documentation: Develop clear, trainable documentation of on-site field processes to support faster onboarding and scaling of new crews.
- Problem Solving: Identify issues across locations and crews before they escalated, and resolve them independently.
- Stakeholder Communication: Write emails, make calls, and communicate directly with employees and clients on operational matters.
- Executive Support: (As capacity allows) Absorb a portion of executive assistant duties for the business owner, including inbox and calendar support, when bandwidth permits.
Qualifications & Skills
- Experience: Prior experience in an operations, business management, or similarly strategic support role, with demonstrated ability to work beyond routine administrative tasks.
- Data & Dashboards: Proven ability to build and maintain KPI dashboards that connect data from a CRM and manual sources into a single, decision-ready view.
- Process Documentation: Experience documenting standard operating procedures in a way that is clear enough to train new team members.
- AI Integration: Experience working with AI tools (such as Claude) to support dashboard building, documentation, and process automation.
- Communication: Excellent written and spoken English. Communication must be clear, confident, and easily understood on daily calls with US-based clients and staff.
- Autonomy: Strong self-direction with the ability to manage tasks and people, mitigate problems, and work with minimal supervision. A natural problem solver who takes ownership of issues and works through them without waiting to be told how.
- Resilience: Thick skin: able to stay calm and professional with direct feedback, demanding clients, and a fast-moving field environment.
- Adaptability: Comfort working across multiple business locations and adapting processes as the organization scales. Flexibility in working hours when the business needs it.
