Role Overview

The Operations & Project Coordinator supports the firms accounting, corporate secretarial, and tax functions by overseeing administrative tasks, tracking project deadlines, reminders and ensuring compliance with regulatory requirements. They act as a bridge between different departments, ensuring seamless coordination and execution of tasks.


Key Responsibilities

Project Coordination

  • Monitor and track project deadlines, ensuring timely completion of deliverables.
  • Coordinate with accounting, tax, and corporate secretarial teams to ensure smooth workflow.
  • Maintain project documentation, including client records, compliance reports, and financial statements.
  • Assist in preparing status reports for management and clients.

Operations Management

  • Oversee daily administrative tasks, including scheduling meetings, managing correspondence, and handling client inquiries.
  • Maintain internal databases for accounting, tax filings, and corporate secretarial records.
  • Ensure compliance with regulatory requirements (e.g., IRAS, ACRA, and other governing bodies).
  • Support the implementation of process improvements to enhance efficiency.

Accounting & Tax Support

  • Assist in the preparation of financial statements, tax filings, and GST submissions.
  • Coordinate with auditors and tax consultants for annual reporting and compliance.
  • Track invoice payments, accounts receivable, and payable to ensure financial accuracy.

Corporate Secretarial Support

  • Prepare and maintain corporate documents, including resolutions, meeting minutes, and statutory filings.
  • Liaise with clients to ensure timely submission of ACRA filings and compliance reports.
  • Assist in the incorporation of new entities and updating company records.

Communication & Client Management

  • Act as a point of contact for clients, addressing inquiries related to accounting, tax, and corporate secretarial matters.
  • Coordinate with external stakeholders, including government agencies, auditors, and legal advisors.
  • Prepare client reports and presentations for business meetings.
