A brand-new role built from the ground up: own the systems, processes, and technology that let our team do great client work without friction. Austin, TX or San Angelo, TX — remote-friendly.
Full-time or Part-time
Hamby & Hengeli LLC is a niche CPA firm based in San Angelo, specializing in audit and advisory services for the banking industry throughout Texas. Our focused expertise allows us to offer best-in-class industry knowledge, providing tailored solutions to meet our clients’ unique needs. We combine the benefits and experience of a large firm with the flexibility and personal touch of a small firm.
About the Role
Hamby & Hengeli is a growing professional services firm specializing in audit, consulting, and advisory services for community banks and other financial institutions. We’re creating a new role – Operations Officer – to help us scale smart as we grow: someone who builds the systems, processes, and infrastructure that let our team do great client work without friction.
This isn’t a traditional office manager role, and it isn’t based on an existing template – we’re building it from the ground up. We think it could be a great fit for either a former auditor who deeply understands our systems, processes, and day-to-day challenges but wants to move away from client work, or someone who’s been an Operations Officer or Office Manager at another professional services firm (law, consulting, financial services, etc.).
You won’t be handling AP, billing, or office events – we already have great people covering that. Instead, you’ll be the person who makes sure our people, our technology, and our processes all work together – translating between our outsourced IT/security provider and our staff, helping us actually use the software we already have, and leading the rollout of new tools and initiatives (including AI). You’ll report directly to both Partners and have real latitude to build things from scratch.
We’re a firm that lives by continuous improvement. If you get energized by finding a better way to do something and then actually building it, this role is for you.
What You’ll Do
Technology & Systems
- Act as the primary liaison between our outsourced IT/security provider and firm staff – translating technical issues both ways
- Own our internal software ecosystem (workpaper management, client portals, project/task management tools, communication platforms) and help staff actually use these tools well
- Lead the evaluation and rollout of new software and AI tools, including training and adoption support
- Maintain documentation on system access, licensing, and tool ownership
Process & Documentation
- Design and document SOPs for firm-wide processes – onboarding, engagement setup, IT requests, and more
- Build and maintain a central, living process library so knowledge isn’t just tribal
- Identify inefficiencies and lead process improvement initiatives from idea to implementation
People, HR & Payroll
- Lead recruiting efforts, from identifying candidates through the hiring process
- Manage payroll processing and serve as the firm’s primary point of contact for HR functions
- Assist with staff onboarding and offboarding logistics (equipment, accounts, first-week experience)
- Support resource allocation and team scheduling
- Partner with leadership on rolling out training and development programs
Continuous Improvement & Project Support
- Spearhead a formal continuous improvement program (idea intake, prioritization, tracking outcomes)
- Provide project management support for cross-functional initiatives so they don’t stall
- Track simple operational metrics (training completion, IT turnaround, tool adoption) and report to leadership
- Take on ad hoc, cross-functional projects as they come up – this role will rarely look the same week to week
Vendor & Operations
- Manage relationships with operational vendors (IT, phone systems, subscriptions, insurance, supplies)
- Periodically audit tools/subscriptions to eliminate waste
Ideal Background
This is a brand new role for our firm, so we’re flexible on exact background – but these two paths stand out to us:
- Former Operations Officer, Chief of Staff, or similar role at a professional services firm (accounting, law, consulting, financial services), or
- Former auditor or accountant who deeply understands our world – systems, processes, and challenges – but discovered they’re more energized by firm operations than client engagement work
Requirements
- Extremely organized, with a genuine ability to build systems and processes from the ground up – not just maintain existing ones
- Tech-forward – you’re the person friends and colleagues come to for help with a new app or gadget, and you don’t need hand-holding to figure out a new tool
- Comfortable being the driver of change – you don’t wait for a fully-formed process to exist before creating one
- A natural relationship-builder, with credibility across staff, leadership, and outside vendors
- Energized by a fast-paced, constantly evolving environment where the to-do list looks different every week
- Comfortable with ambiguity and able to bring structure to it
- Former Operations Officer, Chief of Staff, or similar role at a professional services firm (accounting, law, consulting, financial services), OR a former auditor or accountant who discovered they’re more energized by firm operations than client engagement work
- Experience with process documentation, project management, or change management
- Exposure to AI tools and genuine interest in how they can improve how a team works
