Role Overview

Queens Hillel is seeking a highly organized, detail-oriented, and mission-driven Operations Manager to oversee the financial, operational, and administrative functions of our growing and dynamic Hillel. This full-time, in-person position plays a critical role in maintaining strong internal systems and ensuring operational excellence in support of vibrant Jewish campus communities.

We are looking for a team player who thrives in a fast-paced, collaborative environment and brings a strategic mindset to everything from financial management to vendor relationships. The Operations Manager will work closely with the Executive Director and other senior staff as a key thought partner. The Operations Manager reports directly to the Executive Director.

What You’ll Do

Financial Management & Development Support

  • Establish appropriate financial controls and policies across the organization, and maintain accounting tasks such as writing checks, entering data into QuickBooks, and generating financial reports.
  • Oversee the use of the donor database, including gift processing, data cleanliness and strategic data usage.
  • Ensure staff comply with all financial procedures, and implement new ones as needed
  • Generate P&L reports and verify proper categorization.
  • Prepare and deposit all incoming funds.
  • Generate monthly reports detailing income and spending.
  • Ensure timely payment of invoices and maintain vendor relationships.
  • Keep accurate financial files and records in compliance with 990 reporting requirements.
  • Process and track expenses, ensuring timely payments and reimbursements for staff and students.
  • Act as a liaison between the accountant, outside accounting firm and Executive Director during the annual financial review.
  • Conduct regular data cleaning and updates across organizational software platforms.
  • Reconcile data between Little Green Light, QuickBooks, and Chase monthly.
  • Learn new software efficiently and troubleshoot challenges effectively.

Operations & Administration

  • Maintain and improve organizational systems and procedures, managing multiple projects simultaneously with accuracy and attention to detail.
  • Oversee HR functions, including payroll, benefits, and onboarding.
  • Manage Queens Hillel professional a cappella group, Tizmoret.
  • Serve as the main liaison with vendors, service providers, and campus partners.
  • Manage technology systems and ensure functionality of all office equipment.
  • Help assess and implement tools for increasing staff efficiency and operational transparency.

Facility & Vendor Management

  • Ensure smooth daily operations of all Hillel spaces.
  • Coordinate repairs, maintenance, and relationships with building staff and contractors.
  • Oversee office safety, security, and emergency protocols.
  • Oversee coverage of the front desk.

Qualifications

  • 3+ years of experience in operations, finance, administration, or nonprofit management.
  • Bachelor's degree in business, nonprofit management, or related field.
  • Strong proficiency in QuickBooks and Excel.
  • Knowledge of nonprofit accounting and budgeting best practices (experience with Ramp is a plus).
  • Excellent organizational and communication skills.
  • Experience with HR administration and basic employment law.
  • Comfort working with fundraising databases (e.g., Salesforce, Little Green Light, etc.).
  • Ability to manage multiple projects with accuracy and efficiency.
  • Collaborative, proactive, and solutions-oriented mindset.

  • Competitive salary in the nonprofit marketplace. The salary range for this role is $60,000–$65,000.
